Word 2007: A practical way to mail merge

After editing a document on a Word document, we usually send it to some friends, and in Word2007 you can send the edited document directly to more than one person. It's amazing, we're going to talk about mail merge and how to use it.

The purpose of the mail merge feature is to speed up the process of creating a document and sending it to multiple individuals, and it can even customize the name, address, and other details.

Mail merge Features

The first thing you need to do is open a new document in Word. In Word 2007, there is a tab specifically for messages.

1, click on the "Mail" tab, where you can see all the functions to help you complete the mail merge.

2, click "Start Mail Merge".

3, select the type of document you want to create-you can choose to create letters, envelopes, tags (in each label have a different address) and so on.

4, select "Select Recipient", there are many available options: You can choose to use an existing list (just like the worksheets in Excel, List names, addresses, and phone numbers, respectively), select from Outlook Contacts, or type a new list.

5. Insert Merge fields-This shows that you can insert what you want to include in each of the different fields. For example, the fields that I chose to insert into my letter include like first name, last name, address, county, and so on.

6. Next you can preview the results and make sure everything is the way you want it to be. Shows what the document looks like after the recipient information is imported into the document.

7, when everything has been set according to your idea, you can click "Complete and Merge." Here, you have a lot of options. The first is that you can edit a single document. If you select this, it will create a separate page for each entry in the recipient list. You can make any edits if you need to. The second option prints the document, and the last option allows you to send each page as an e-mail message.

Mail Merge is the most useful feature in your office, and you can send messages in bulk. In the life, the greeting card, the invitation and so on batch sends is also very practical.
