Microsoft SharePoint Services is a network-centric document management technology. Microsoft regards it as a collaboration technology. But it actually has more features.

SharePoint Services embodies Microsoft's web-friendly product philosophy. It is closely related to desktop programs and implements these features in wizard mode. Security is already covered in the architecture. The auxiliary function of this product is to make work more convenient and cost-effective. It has been widely used and is a solution worth your consideration.

SharePoint services can bring you a lot of features you have always been eager to get. In the past, these features were not available because you had to handle a lot of trouble and you had to do something about your architecture. Some functions of SharePoint Services are not clear at a glance: It is touted as a document management system, which has an inherent problem, because we all have fixed ideas about what a file management system is. However, Sharepoint's network-centric orientation has some surprises, which may change your mind.

1. SharePoint extends the Exchange Server
If you are using exchange server to process email, Sharepoint can greatly simplify the distribution process. You can create a Sharepoint site to receive exchange communications at a single point, and then batch distribute all communications to a specific group. All the security and member lists are built in. In exchange, you can set a public folder for Sharepoint. The exchange operation is complete. SharePoint extracts emails from the folder and continues to complete the work.

2. Sharepoint is a highly scalable Collaboration Solution
Microsoft often advocates that SharePoint Services is essentially a collaborative solution toolkit. It creates an environment for team collaboration, sharing and managing project files and documents, testing, and other collaboration features. Collaboration is a feature of SharePoint.

Another less widely publicized feature of Sharepoint is its excellent scalability. Originally, the source database shared by a team can be easily expanded to be used by the entire enterprise or even the majority of users. SharePoint Services can easily implement cross-server applications, so it can implement massive data storage.

3. SharePoint sites can be highly customized
SharePoint Services can be fully integrated with FrontPage 2003, so all FrontPage WYSIWYG Web editing tools can be used when creating SharePoint sites. (If your organization covers the underlying layer, all of them are the same as ASP. NET ).

With FrontPage, you can use Web parts, which is a modular code that you can reuse in Sharepoint to obtain real-time data from various possible resources (see point 8th ). You can insert a Web Part area into the site to allow users to control these code modules and support drag-and-drop control. With XSLT, you can perform conditional format orchestration. You can perform operations directly or through FrontPage.

4. SharePoint extends infopath
Infopath 2003 is a Microsoft Desktop Application Technology that integrates form management and data exchange. Infopath is a powerful and neglected technology that combines XML architecture and form friendliness with Sharepoint.

You can directly publish the infopath form to the SharePoint library. In this library, forms can be stored, (and more importantly) shared, and can be obtained by working groups that use SharePoint as a collaboration tool. (The basic table is stored in the library title; the XML result set is assembled into the library itself ).

With the SharePoint Portal, you can use the SharePoint Portal network service to provide better performance for your desktop users. They can access information in other systems in your organization (or outside, create a table as needed.

5. metadata can be used to create a dynamic resolution Storage System
Metadata is an important concept of SharePoint Server. It has several advantages. With metadata, You can effectively customize the search, which allows you to dynamically organize information, search for a file library using a search condition, and obtain feedback.

On the other hand, if appropriate, you can organize your file library beyond the traditional hierarchical folder. You can create a Metadata Query, which can be used not only to search for files in the file library within the organization, but also to search for files in other libraries. In this way, you can dynamically create a searchable file pool, not just for search, you can organize files again without any physical processing.

6. SharePoint can transmit data
The main function of Sharepoint is to create a shared distribution for data transmitted from different sources in different transmission modes (see #1, #4. However, its data transfer role does not end here. Based on the content of your organization's site and the role of the site in the system, you can use the site migration function of Sharepoint to truly achieve data distribution from the server to the server (see #10 ).

For example, if you want the internal SharePoint site to display data in different workflow stages, the SharePoint content database of these sites can use the batch processing function (this is a command line program, so you can modify it ).

7. Use task pane to convert the word library into a collaborative system with management functions
The main function of SharePoint Services is to manage documents. Save Word files to SharePoint and put them into the database. checking their access status is the most important function of SharePoint.

However, these functions can be used in a shared work environment, rather than in a self-closed environment. You have a task Panel (task pane) where you can connect files to the database. There are many important functions in task pane, which allow you to go beyond the simple file management stage, truly implement collaboration and management. With task pane, you can:

  • Tracking the status and version of a file
  • Define and track who accesses the SITE/File
  • Perform task monitoring
  • Create alert

    Of course, you can save all the files in the office application to SharePoint.

    8. SharePoint can obtain data from external databases or other data sources
    Web parts and Web Part architectures (which can be used in your SharePoint development through FrontPage 2003 or ASP. NET) can become powerful components of SharePoint sites. In particular, data view Web parts allows your site to obtain data from different data sources. You can create special windows for Sharepoint and then aggregate them together. Data sources can be databases, web services, or any XML resources (such as infopath files ).

    9. use Excel for data management
    SharePoint supports transferring data to excel, which facilitates drawing and printing (using Excel printing commands and Excel drawing options ). But of course, you can transfer data to excel only for convenient management purposes (this is often needed. The Excel output function creates an Excel web query link for raw data. In this way, you can create a data table to receive data and then pass the data to SharePoint.

    These can be achieved by generating an Excel spreadsheet, and then linking the workbook with SharePoint (connecting Excel and datasheet task pane by using export and link ). Once completed, the data can enter the data table, and then push the data table to Excel Based on the synchronization list option.

    10. One operation can back up the entire site and its content
    The overall capability of a mobile site (or even a station set, from the master station to the sub-station, and all content) should not be underestimated. Anyone who has migrated the site knows how troublesome this is. SharePoint Services has two components worth mentioning, which can greatly facilitate migration: stsadm and smigrate.

    Smigrate was first used as an upgrade tool to migrate data from the old SharePoint site to the new site. Now, its main functions are backup/recovery and the overall migration site. This is a command, so it is for scripts. It can simplify the work of the migration site and its content. In some cases, it is a trusted content distribution tool.

    Its disadvantage is that when smigrate is used to move a site, its security settings are not transferred together. Therefore, check your settings after the transfer or recovery is complete.

    Smigrate cannot protect your security, but stsadm can. Its function is not only to create sites, but also to collect sites and do more: You can use it to create sites and delete site collections, enter a template or move data (see #6 ).
