first, what is Office Online
Office Online extends the Microsoft office experience to a Web browser, which allows you to work with documents directly on the SharePoint site where documents are stored, and you can view and edit Office documents on your device, wherever you are. Collaborate with others on cross-platform, device, and Office editions, writing papers, preparing presentations, creating spreadsheets, and taking notes. Store documents on the WEB, and even if others don't have Office installed, they can share them as long as they have a supported browser.
Office Online was formerly known as Office Web Apps. In local SharePoint 2010, it still takes the previous name.
Office Web Apps is renamed Office Online, and the services are renamed to Word online, Excel online, PowerPoint online, and OneNote online.

Office Web Apps is available to consumers and business users in two different ways, and as an online version of Office 2010, it primarily provides users with anytime, anywhere office services without requiring users to install Microsoft Office clients locally. For the average consumer, Office Web Apps is completely free, and you can use Office Web apps in your browser with only a valid Windows Live ID.

Microsoft also provides on-premises (on-premise) for businesses that want to provide the same services to their employees but run on their own data centers without using Microsoft servers. However, organizations can deploy Office Web Apps on their servers only after obtaining a volume license, and the enterprise needs to install SharePoint Foundation 2010 first on the server, which can be downloaded to Microsoft's official free download.

Note: documents that you want to open in office Online do not have to be created by using Office 2010. For best compatibility, use Office 2003 or a later version, or use Office for Mac 2008 version 12.2.9 or office for Mac 2011. If you are using Office 2003, install the latest Service Pack and save the document in the Office Open XML file format (for example,. docx,. xlsx, or pptx files) on your computer. You then upload the document to a SharePoint site that has office WEB Apps configured.

With Office Online, your documents are stored as Web pages and displayed in the browser. To view the document, click it. To share this document with others, please send a link.


It doesn't matter whether your version of Office matches the version of your friend or colleague. No need to download viewer. Documents look the same in the browser as they do in Office programs.
(2). Dynamic editing
In addition to viewing documents, Office Online also enables you to edit the contents of a document in a browser.

Browser-based editing has been optimized for the following scenarios: You need to rewrite some text, enter some data, add slides, or write down notes. If you are already viewing the document, click Edit in Browser in Office Online, and then make the changes to complete the work. In most cases, your updates will be automatically saved (in Word Online, click Save).

2. Co-authoring in Excel online and OneNote online
In Excel online and OneNote online, you can work with other people on the same document at the same time.
Putting documents together or gathering information is usually a group activity. For example, you can use Excel online to collect relevant information in a structured way, or you can use OneNote online to collect it in a free way. The file is stored in a central location that is accessible to every user who needs the file. There is no need to wait for a user to complete the file until the next user joins the file processing work. There is no need to send multiple copies by e-Mail for later coordination work.
There are no special commands for real-time collaboration. You can edit the same file directly in Office Online while a colleague edits the file.
Seamlessly switch to Office
Sometimes you want to make a lot of changes, which requires a feature-rich Office desktop application. In these cases, you can seamlessly switch directly from office Online to the appropriate Office desktop application. If you have a document open in Office Online, click the Open command to open the file directly from your browser in an Office program that is installed on your computer. When you're done, click Save in your Office program and the file will be saved back to the server (the changes you made in the OneNote desktop app will automatically be saved to the server).
Note:In Firefox, Internet Explorer (Windows) and Safari (MAC) browsers, it is supported to open documents directly from the browser in the Office desktop application. Under Internet Explorer in Windows, you must also use Office 2003 or a later version to use this feature (if you are using Firefox, you must also use Office 2010). OneNote Online requires OneNote 2010 to use this feature. On Mac, this feature requires Microsoft office for Mac 2008 version 12.2.9 or Office for Mac 2011, and the OneNote desktop app is not available.
