9.1In- Place archive

In-place archiving helps you regain control of your organization's messaging data without requiring a personal storage (. pst) file, and allows users to access the archive mailbox in Microsoft Outlook 2010 and later and Microsoft Office Outlook Web App "to store messages in.

In Microsoft ExchangeServer 2013, in-place archiving provides users with an alternate storage location for storing historical mail data. In place an archive is another mailbox (called an archive mailbox) that is enabled for a mailbox user. Outlook 2007 and later versions and Outlook Web APP users can seamlessly access their archive mailboxes. By using either of these client applications, users can view the archive mailbox and move or copy messages between their primary mailbox and the archive mailbox. In-place archiving provides users with a consistent view of the message data, eliminating the user overhead required to manage. pst files.

The user's archive can be set on the same mailbox database as the user's primary mailbox, another mailbox database on the same mailbox server, or on a mailbox database on another mailbox server in the same Active Directory site. In Exchange 2010 and later versions of hybrid deployments, you can also set up a cloud-based archive for mailboxes that reside on a local mailbox server.

An in-place archive can also reduce the contents of the primary mailbox, making the primary mailbox small and neat, while making it easier for organizations to manage a large, offline cache or OST file. However, in Outlook 2013, it becomes more convenient in Outlook 2013, where you have an option to control the offline cache for a certain period of time, and if a user retrieves a message in a non-offline cache, it is online to retrieve the messages in exchange. Note: Outlook does not create a local copy of the archive mailbox on the user's computer, even if it is configured to use Cached Exchange Mode. Users can access the archive mailbox only in online mode.

9.1.1 mail data and . pst files

Outlook uses. pst files to store data on the user's computer locally or on a network share. Unlike an offline storage (. ost) file, which is used by Outlook in Cached Exchange Mode to store a copy of a mailbox for offline access, a. pst file is not synchronized with the user's Exchange mailbox. If the user moves the message to a. pst file, the messages are removed from the mailbox.

Using a. pst file to manage message data can cause the following issues:

unmanaged Files

typically. pst files are created by the user and reside on the user's computer or network share. They are not managed by the organization. As a result, users can create several. pst files that contain the same or different messages and store them in different locations without being controlled by the organization.

Discovery Cost Increase

Litigation and certain business or regulatory requirements sometimes result in discovery requests. Locating the message data in a. pst file that resides on a user's computer can be very labor-intensive. Because tracking an unmanaged. pst file can be difficult, in many cases it may not be possible to discover. pst data. This may lead to legal and financial risks for the organization.

Unable to apply message retention policy

Message retention policies cannot be applied to messages in. pst files. As a result, the organization may not comply with business regulations or applicable regulations.

Message data stored in a. pst file is vulnerable to data thieves. For example,. pst files are typically stored on portable devices such as laptops, removable hard drives, and portable media such as USB drives, CDs, and DVDs.

In Exchange 2013, you can apply an archiving policy to a mailbox so that messages are automatically moved from the user's primary mailbox to the archive mailbox after a specified period. Archiving policies are implemented by creating retention tags that use the move to archive retention action.

The message is moved to a folder in the archive mailbox that has the same name as the primary mailbox's source folder. If a folder with the same name does not exist in the archive mailbox, the folder will be created when the managed folder assistant moves the message. Users can easily find messages by recreating the same folder hierarchy in the archive mailbox.

In-place archiving supports the following client Access applications:

Outlook 2013, Outlook 2010, Outlook 2007, and Outlook Web App users can copy or move items from their primary mailbox to their archive mailbox, and you can use retention policies to move items to the archive.

However, after we enable an in-place archive, there are two issues to note:
1. The archive mailbox does not support all clients, for example, mobile devices and outlook for Mac are inaccessible to the archive mailbox
2. The archive mailbox and the primary mailbox are paired, and you can't simply attach an archive mailbox to another user's primary mailbox. This is because the primary and archive mailboxes have the same legacyExchangeDN. If you need to do this, you should export the archive mailbox and import it. More importantly, when we delete the primary mailbox, the archive mailbox will also be deleted!

9.1.2 delegated access

Delegated access refers to the access that a user or group of users has given to access to other users ' mailboxes. There are several scenarios for delegating access, including:

Provide one or more users with access to a mailbox that is no longer employed by the organization. In this case, users who may be given delegated access include the manager or supervisor of the departing user, or another user who will assume the responsibility of the departing user.

Provides access to a shared mailbox for one or more users.

Provide administrative assistants with access to the mailbox of the senior management they are assisting.

In Exchange 2013, when you assign the full access permission to a mailbox, the delegate to whom you assign this permission can also access the user's archive. Delegates must use Outlook to access mailboxes, and they must connect to Exchange SP1 or later client access servers for Autodiscover purposes. Autodiscover is an Exchange service that provides configuration settings for automating the configuration of Outlook clients. When a delegate uses Outlook to access an Exchange 2013 mailbox, you can see the primary mailbox and archive in Outlook that you have access to.

9.1.3 Moving messages to an archive mailbox

There are several ways to move messages to an archive mailbox:

Manually move or copy mail mailbox users can manually move or copy messages from their primary mailbox or. pst file to their archive mailbox. Archive mailboxes appear as other mailboxes or. pst files in Outlook and Outlook Web apps.

Use Inbox rules to move or copy mail mailbox users can create Inbox rules in Outlook or Outlook Web App to automatically move messages to folders in their archive mailbox. To learn more, see Understanding Collection rules.

Import messages from a. pst file

In Exchange 2013, you can use a mailbox import request to import a message from a. pst file into a user's archive or primary mailbox.
