Office 365 Administrator Guide 11--document library synchronization

You can synchronize a SharePoint library to a computer, and then use Windows Explorer to work with files in the library. Whenever you go online, file updates are synced to SharePoint. You can synchronize a library on a SkyDrive Pro library or on a team site.

To use this feature, you must have Office 2013 (standard or Professional) or Office 365 subscriptions that include Office applications.

E) This opens the Sync Library Wizard and automatically identifies the name and URL of the SkyDrive library. Click Sync now to start syncing your SkyDrive. In the dialog box, click Show My files ... to open the Synced SkyDrive folder in Windows Explorer. In Windows Explorer, synced SkyDrive is listed in the folder named "SkyDrive Pro" in favorites.

If you upload a large file (or multiple files with a large total size) to the library, you may have an error due to file size restrictions in SharePoint, or a time-out error in your version of Internet Explorer. The steps you can take to resolve these errors include the following:

L upload 100 or fewer files. Uploading more than 100 files at a time is not supported.

l do not upload files larger than MB. MB is the default maximum file upload limit.

If your organization maintains on-premises deployment of SharePoint, ask your server administrator to verify or increase the maximum file size limit to accommodate the size of the files that you want to upload. The default size is limited to a few megabytes, but can be increased.

For file sizes exceeding 2 GB, if the "processing" message persists, follow the instructions in Microsoft support: Internet Explorer Error "Connection timed out" when the server is not responding.

If you have a SkyDrive Pro sync client, use it to upload larger files or multiple files. Synchronization will automatically upload these files in the background when you are online.

Considerations when adding files to a library

There are several ways to add files to a library, depending on whether you want to upload a file that you have created or create a new file.

upload Files After you create one or more files in your favorite program, you can upload the files to the library. Uploading a file is useful if you have multiple files that you need to add to the library. Uploading a file is the only way to add a file to the picture library. When you drag a file to the library, the experience may be slightly different depending on the browser you are using and whether the latest version of Microsoft Office is installed on your computer. Other ways to upload files that are not mentioned earlier: near the top of the site, click File > Upload Document, click Browse, and then each time you browse to find a file, upload the file to the library. Or, to upload multiple files, you can open the library in File Explorer by clicking Library > Open With Explorer.

L Create a new file you can create a new file from the library. The types of files that you can create depend on the templates that your site owner or Administrator Associates for the library, such as Microsoft Word templates. If you want to create other types of files in the library, contact your site owner or administrator.

L require the checkout library to be configured to require you to check out a file before you edit it. If you want to upload a file to a library that requires a checked-out file, the file is initially checked out to you. You must check in the file before others can edit the file. When you check in a file, you are prompted to enter a comment about the changes you made.

L file version You can add a new file to the library, or you can replace the existing file with a revised version of the file. If the library is configured as a version of the trace file, you can add the revised file as a new version, which becomes part of the file version history. If you are uploading a new version of a file, consider typing some comments on the changes made in this release to make it easier to track the history of the file.

L file attributes You may also need to fill in the file properties when you add files to the library. File properties can contain basic information about a file, such as a file description or keywords that help users search, or include specific information about your organization, such as a department name or a project number.

content Approval You can set up the library to approve the content before it can be displayed to all users who have permission to view the file in the library. Content approval means that users with permission to approve or deny content can specify whether new items or any changes to existing items should remain pending until they are approved. Content approval is useful when you want to manage the contents of a library or to keep content in a pending state when you are finished.
