Office Groove tutorial (1) ---- reprint

I think many of you have installed the Office Enterprise Edition, right? Do many people not understand the groove component? In fact, groove was founded by the founder of Lotus since 1997, and Microsoft has been an investor until it recently spent $0.12 billion to merge it into Office System 2007.

The working principle of groove is to implement collaboration based on P2P. The method is to create a fully synchronized area on the computer of each team member in the project, all discussions, files, events, tables, and calendars in this region are automatically synchronized with other members of the project, and the instant messaging function is also provided, groove can also be expanded to provide connections to the backend SPS, making it highly adaptable.

In recent years, P2P technology has changed the entire online world. P2P downloads (BT, eMule), videos, and music have become full of the Internet. Groove is a P2P office collaboration system. In a project team, everyone can find each other and create a project by installing groove on their own computers, invite relevant persons to the project and share files, share discussions, post questions, and reply in a Real-Time Synchronization space. When a project member updates files or posts discussions, it will be immediately transmitted to the groove of other project members through incremental updates. Other members will receive a prompt reminding them that the content of the project has been updated and that the project members can communicate with each other in real time, it includes public channels, one-to-one, and one-to-many communications. Just as the faster BT downloads, the more people use groove, the more powerful it will play.

Groove has the following basic functions:
(A) file sharing. All files dragged into this topic by project members are automatically synchronized and updated among members, and changes are notified in real time, you do not need to repeatedly send emails to multiple members.
(B) The discussion board posts and replies just like ordinary BBs. New posts are automatically sent to members.
(C) Calendar, where you can plan project milestones, project schedules, and mark completed progress.
(D) Notes. Members can write work notes and experiences, which are similar to word functions and can be shared in real time.
(E) Issue tracking. problems encountered in the project can be posted here, and different members are responsible for tracking, replying to progress reports and solving issues.
In addition to the above basic functions, groove can also link to SharePoint and infopath to provide interfaces for future extension.

Let's take a look at the P2P office collaboration method, compared with the traditional B/S server method, what are the advantages:
(A) Project information to ensure 100% availability.
The server is not completely fault-free. The server may have to suspend the service for a certain period of time due to hardware damage, hardware replacement, system patches, and so on, project data stored on the server cannot be opened for the time being, which may affect the project work. However, in P2P collaboration, all data is synchronized and stored on the hard disks of all project members. Even if a Member's hard disk is damaged, you do not need to spend any money to repair the data. As long as the system is installed on the new hard disk, install groove. After a cup of tea, all the information will be synchronized from other project members.
(B) Project materials can still be used even offline.
In the traditional B/S mode, all data is stored on the server. To view project information and files, you must log on to the server, this makes it inconvenient to use project materials when you work with your laptop and cannot access the Internet. In P2P mode, the materials are stored on the computers of every project member, it is very convenient for notebook users. The project information is synchronized to the local hard disk at any time. You can open the project information on your computer at any time, whether you are on a meeting, traveling, or going out, instead of relying on the server.
For example, if the company supervisor is busy during the day and has no time to read the project materials, he can take the notebook home and open it to see the progress of the synchronized project on the day, if you have any questions, you can immediately raise or modify them offline. When you go to work the next day, all the changes will be synchronized to all other members through the network.
(C) receive the notification immediately and open it.
When using Sharepoint, you can only subscribe to updates by email or RSS. Although it is convenient, there is no clear classification, and you must log on to the server to view the details, when groove is used, all updates are updated to the local device in real time. Users can perform a higher level of notification on a content or file of interest to obtain updated information faster, because the file content is local, it can be opened almost instantly without waiting.

Groove is highly scalable. Groove can be used for small to four-person companies to large international companies.
In many small companies with only three or four people, there is no Internet access, no servers, or even a Sharepoint system. They only have a LAN consisting of a hub. In this case, their best choice is groove. as long as each person installs groove, they immediately have the necessary functions for file sharing, discussion, calendar, instant messaging, and other office collaboration.
In large international companies, employees from all over the world can use groove to Work offline. As long as the network is connected, groove automatically synchronizes data with the company and other members through the Internet, view the progress in real time and exchange information. Groove can also serve as the front-end client of the enterprise central server. It is very suitable for mobile users.

In terms of security, the transmission and storage of all data in groove are 192-bit encrypted.

Now I am going to teach you how to use groove:
1. First, execute groove. Initialization is performed during the first run, which takes a little longer. 2. Create a new account

3. Select "I have no code" at the bottom"

4. Fill in the account, email information, and password. You do not have to worry about repeated accounts. Groove automatically creates a random user ID locally instead of accessing the groove server, therefore, groove can be used even on a LAN without internet access.

5. Waiting for Account creation

6. Select whether to post your account on the Internet for others to search for you.
