How to connect a WiFi printer

How does the WiFi printer connect to the Mac? How do I use the WiFi printer? How to set up to quickly connect to the WiFi printer, the small written article does not cover all the possibilities of all Wi-Fi printers. The steps to add a Wi-Fi printer to a Wi-Fi network vary by vendor.

Before you start

Make sure you know the Wi-Fi network Name (SSID) and its password.

If the Wi-Fi network has access restrictions such as MAC address filtering, you will need to add the printer's MAC address to the airport base station through the airport utility (located in the/application/utility).

Add a Wi-Fi printer that can select a Wi-Fi network from a printer's built-in control or screen

Note: Some Wi-Fi printers may not have the Wi-Fi networking feature turned on at the factory. See the documentation that came with your printer for information about enabling Wi-Fi on your printer.

If you can select the Wi-Fi network through the built-in Touchscreen/button/control of the Wi-Fi printer, follow these steps. If you are unsure, refer to the documentation that came with your printer, or refer to the documentation available on the manufacturer's support website.

Use the built-in touchscreen/buttons/controls on your printer to select your Wi-Fi network. If prompted, enter the Wi-Fi password required for the printer to join the Wi-Fi network. The Wi-Fi printer should then be able to connect to the Wi-Fi network. See your printer documentation or contact your printer vendor for more information and support.

In OS X, add the printer through the Add Printer dialog box, or select the printer from the adjacent printers list in the printer: pop-up menu of the printed form. For more information about how to add a printer, see this article.

Add a Wi-Fi printer that is not available through the printer's built-in controls or screen select Wi-Fi network

Note: Some Wi-Fi printers may not have the Wi-Fi networking feature turned on at the factory. See the documentation that came with your printer for information about enabling Wi-Fi on your printer.

You can use the three general methods described below to connect to a Wi-Fi network. Choose a way to best match your printer's capabilities, such as whether the printer can be configured over a USB or private network (refer to the documentation that came with the printer if you are not sure).

Method 1: Temporarily connect the printer to the Mac via USB, and then use the printer's setup Assistant to have the printer join the Wi-Fi network (if applicable)

If your printer can connect to the MAC through a USB cable and includes the printer Setup Assistant software, you can use the following steps. Otherwise, consider either method 2 or 3.

Connect the printer to the Mac via USB.

Install the software that shipped with the printer.

Open the Setup Assistant application software that is installed with your printer software to configure your printer to join the Wi-Fi network.

During Setup Assistant execution, there should be a step to ask you to select the network, select the name of the Wi-Fi network that you noted earlier. If your Wi-Fi network is protected by a password, enter your password.

After you complete this procedure, you can disconnect the printer from the USB port on the MAC and remove the USB printer queue that you created in the first step.

Open the Print and Fax panel in System Preferences, and then use the + button to add a printer that is connected to Wi-Fi. For more information about how to add a printer, see this article.

If your printer is unable to join the Wi-Fi network, refer to the documentation that came with your printer or contact your vendor for support.

After the printer configuration is complete, you do not need to perform the other steps in this article.

Method 2: Temporarily connect the MAC to the printer's private Wi-Fi network (if applicable)

If your printer generates a private Wi-Fi network for configuration and the printer software includes the printer Setup Assistant application, you can use the following procedure. Otherwise, consider either method 1 or 3.

Note: The private networking feature is useful when configuring printers to join Wi-Fi networks. However, only the private network should be used to configure the printer to join a regular Wi-Fi network (not to print). Because you cannot access the home Wi-Fi network and the Wi-Fi printer at the same time, you do not apply it for printing.

Install the software that shipped with the printer.

Enable a private network of printers. If necessary, refer to the documentation that came with your printer for more information.

Temporarily associate the MAC with the printer's private network through the Wi-Fi menu bar item. If you are unsure of the name of the private network generated by your printer, refer to the documentation that came with your printer.

Open the Setup Assistant application software installed with your printer software to configure the printer for your Wi-Fi network.

During Setup Assistant execution, there should be a step to ask you to select the network, select the name of the Wi-Fi network that you noted earlier. If your Wi-Fi network is protected by a password, enter your password.

When this process is complete, the printer may reboot to join the Wi-Fi network.

Reconnect the Mac to the regular home Wi-Fi network through the Wi-Fi menu bar item in Mac OS X.

Open the Print and Fax panel in System Preferences, and then add the printer by using the + button. For more information about how to add a printer, see this article.

After the printer configuration is complete, you do not need to perform the other steps in this article.

Method 3: Associate the printer with the Wi-Fi network (if applicable) through WPS

If your printer supports WPS (Wi-Fi protection setting) connections, you can use the following procedure. If you are unsure, refer to the documentation that came with your printer. Otherwise, consider either Method 1 or 2.

If you have an Apple Airport base station or airport time capsule, do the following:

Open AirPort Utility v6.2 or later (in "/Applications/Utilities"). Tip: If you have not installed the latest version of the AirPort utility, install it.

Click the Airport device icon in the Airport utility and enter the base station password as prompted.

From the Base Station menu, choose Add WPS printer ...

There are two types of WPS (Wi-Fi Protected settings) connection type: first try and PIN. Please select a connection type supported by the printer. If you are unsure, refer to the documentation that came with your printer.

If the printer supports the first attempt connection method:

If the printer supports a PIN connection method:

Select the PIN option in the AirPort utility, and then click Continue.

Enter a PIN code that is either hard-coded into the printer or displayed on the printer's control panel.

In the AirPort utility, select the first try option, and then click Continue.

Press the WPS (Wi-Fi Protection Settings) button on the printer. You should see the MAC address of the printer appear in AirPort utility and click Finish.

If you are using a third-party Wi-Fi router: see the documentation that came with your router, or contact your vendor for support.

Important: If the Wi-Fi printer is unable to join the network, refer to the documentation that came with the Wi-Fi printer or contact your vendor for support.
