I. Access2003 table

In the "Tools" menu, point to "Office link" → "publish with Microsoft Office Word" (1), the system will automatically generate a file in the Word RTF format, the Word editing window of the file is automatically opened.

Ii. Access2007 table

Click the "external data" tab, and in the "Export" group, click "Word" (2 ). The "Export" command can be used only when the database is opened.

In the export wizard, specify the name of the target file. If you want to view the Word document after the export operation is complete, select the "open target file after export" check box; if you select the record to be exported before starting the export operation, you can select the "export only selected records" check box (3 ). However, if you want to export all records in the view, make sure that the check box is empty. If no record is selected, this check box is displayed as unavailable. After setting, click OK.

No matter which Access version is used, if the. rtf file with the same name already exists, a dialog box is displayed, prompting you to click "yes" to overwrite the file (4 ). Click "no" to change the name of the target file. Now, in the Word editing window, the table is converted from the Access database. At this time, you can further set the font, border, and shading of the table, and print the output in Word.

1. When you use the export Wizard to export an object, Access creates a copy of the rule data in a Word RTF pattern file (*. rtf. For tables, queries, and forms, visible fields and records are displayed as tables in Word documents. The export wizard always exports data with a pattern.

2. This means that fields and records that can be viewed in the policy or view will be exported together with the display pattern settings. Columns and records hidden due to filter settings are not exported. For reports, the report plan will also be saved during export to try to make the Word documents as similar as the report.

3. Before the Access database is published or exported as a Word Table, check the source data to ensure that the error values such as the Fault Indicator (green triangle) or # Num are not included. Before exporting data to Word, you must first handle the fault questions. Otherwise, you will find that such a value is replaced with Null.

4. If the rule Word document exists and is opened, close it before continuing the operation. You cannot append data to an existing Word document. In the database, if you only want to export a table, query, or a part of the form, open this policy and select only the required records.

5. When you export data from Access to Word documents, the data is always exported to a New Word document. If you want the data to be inserted into an existing Word document, it is necessary to export the data from Access to a new word document, copy the data from the New Word document and paste it into the existing document. Alternatively, you can copy rows from an Access table, query, form, or report and paste them into an existing document.
