Smart document design is designed to help you when you are working with documents. Several document types, such as forms and templates, are also used as smart documents.

Smart documents are especially effective when used throughout a process. For example, your company might have a set of procedures for completing the annual Employee Review table, and you might have used a Microsoft Word template for that purpose. If you turn that template into a smart document, it can connect to the database to automatically fill in some of the required information (for example, your name, employee number, manager name, and so on). When you complete the table, a smart document displays a button that allows you to transfer the table to the next step in the procedure. Because a smart document knows who your manager is, it can automatically route the document to that person. And, no matter who is working on a smart document, a smart document knows which stage of the review process it is in and what to do next.

Smart documents can help you reuse content. For example, a lawyer can use an existing boilerplate file when writing a contract, and a journalist can insert author rows and other commonly used text.

Smart documents make it easier to share information. They can interact with a variety of databases and use Microsoft BizTalk Server to track workflows. They can also interact with other Microsoft Office applications. For example, you can use smart documents to send e-mail messages through Microsoft Outlook without having to leave the document or start Outlook at all.

Smart documents are created and published by developers and Information Technology (IT) experts.
