's mail system is very important to the success of the company, sales pay depends on the rapid and reliable customer contact, the other departments are also very dependent on the mail system to complete the communication around.
Project Environment:
Lingyun High-Tech Co., Ltd. we have installed Exchange mail system, can send and receive mail, in the enterprise has implemented the internal mail forwarding, after a period of trial, the user found to multiple recipients to send the same letter, each recipient will receive a copy of the message, But for some larger mail, it is very consuming user's mailbox storage space and mail server storage space, then how can we help our company solve this problem??
Project Standard:
The ability to create public folder share file information for various departments, set permissions to manage the folder for each department owner, enable e-mail addresses for individual public folders, limit the size of public folders in each department, and manage permissions settings for individual public folders;
Project implementation:
First of all, we should know that public folders are a simple and efficient way to collect, organize, and share information among mail users. As long as you have the appropriate permissions, you can create, view, and change actions, and you can send messages directly to different folders by enabling mail addresses. Public folders typically consist of a public folder tree and a public folder store of 2 parts; common file tree: A group of public folders that have hierarchies, a tree that can have multiple public folder stores that can replicate information to each other. Public folder store: a database that is used to store public folders. The public folder store stores the data that is common to users who have the appropriate permissions. The public folder store must be associated with a shared folder tree. In exchange, a public folder with 2 types of data: Public folders and system folders. Public Folders: Users can use Outlook to access these folders directly. Under its default configuration, Exchange System Manager displays these folders when public folders are expanded. System folders: Users cannot access these folders directly. Use these folders in Outlook to store detailed information like, empty folders and databases busy, offline addresses, and so on. (By default, Exchange System Manager displays only public folders, not system folders, but to view these folders, you can open Exchange System Manager, select Folders/Shared folders, right-click it, and then select Show System Folders.) But we need to pay attention to a problem; if the problem with synchronization is either the server is busy or the shared folder is in use, the reason to solve this problem is to restart the service or restart the computer, but we recommend that you do not restart the service!! Public folder instances and replication status are useful for messaging administrators to master replication between public folders across multiple Exchange servers, while Full-text indexing is primarily used to implement public folder Quick Search and lookup.
1.1.1 Create a public folder::: After installing Exchange, the system automatically establishes a public folder tree called Public Folders. You can create public folder information for our company under the tree. 1.1.1.1. In Exchange System Manager, expand the Folders container right-click the public folder, which is the node, and select the command for new public folders as shown in Figure 1-1.
1.1.1.2. In the properties of the public folder, in the general, select name to enter the name of our company, the name of the public folder. As shown in Figure 1-2.
1.1.1.3. In the same way we create a public folder for each department in the company. Figure 1-3 is a public folder created for our company.
1.1.2.1. Manage Public Folders: First we know what good it is for our network administrators to manage public folders. First of all, we should know that managing folders can reduce our workload.
1.1.2.2. Open the Exchange System Manager window, expand the folder, select Public Folders, and then select Administrative Settings, and then you will see the interface shown in Figure 1-4. Of course, sometimes we need to pay attention to the implementation of the "Management settings", sometimes can not be built Oh!
