Word document protection can be said to be from word 971 until word XP is the same old, there is no significant change, some users even disdain it. However, Word 2003 's "Protect Document" feature has been significantly improved, with the exception of previous versions of revision protection, annotation protection, and form protection, as well as new restrictions on document formatting, and protection of the document's local features.

Set document formatting restrictions to protect document formatting

If you use the formatting Restrictions feature of the document, you can prevent users from applying a style that you don't explicitly specify, or you can prevent users from applying formatting directly to text (for example, bulleted or numbered lists, and font formatting), and when formatting is restricted, commands and keyboard shortcuts for applying formatting directly will no longer be available. To protect the formatting of the document.

Specific methods

1. Click the Protect Document command on the Tools menu to enter the Protect Document task window.

2. In the Protect Document Task window, select the Restrict formatting to selected styles check box, and click the Settings button (as shown in Figure 1).

3. In the Formatting Restrictions dialog box that pops up, check the restrict formatting to selected styles, and then in the dialog box, select the style you want to format, and clear the checkboxes for the styles in the document that are not allowed to be formatted (as shown in Figure 2).

4. The Click OK button will pop up a warning dialog box and click "Yes" button.

For example, we canceled the "Heading 1 style" Check in the Formatting Restrictions dialog box, and then click "Yes" in the pop-up warning dialog box, so that the area format where the Heading 1 style is applied will be cleared and the other formatting retained.

5. In the Protect Document window, click Yes, start Force protection.

6. In the Start Mandatory Protection dialog box, type a password in the new password (optional) box, confirming that the password is "yes" to start the document formatting restrictions feature.

Tips:

1. To limit the style to the minimum number of recommended options, click the Recommended Style button in Figure 2. You can limit the styles to fewer options, but this removes the styles that Microsoft Word uses in some features, such as a table of contents and bulleted or numbered lists.

2. If you want the AutoFormat feature (Tools/AutoCorrect Options/AutoFormat As you type) to be retained as part of the type, such as changing the score "1/2" to "?", select the Allow AutoFormat Override Formatting restrictions check box.

Second, set the local protection function of the document

The document protection feature of Word 2003 improves the local protection of several documents, and you can designate some documents as unrestricted.

Specific methods:

1. Select the text you want to edit (unrestricted), and hold down the CTRL key to select the discontinuous content;

2. In the edit limit only allow such edits in document list, select No changes (read only) to prevent users from changing the document (as shown in Figure 3).

3. In exceptions, select the user you want to edit.

If you allow anyone who opens the document to edit the selected section, select the Everyone check box in the group box;

If you allow a specific

Person to edit the selected section, click More users, and then enter the user name (which can be a Microsoft Windows user account or e-mail address), separated by semicolons, with the point "OK" (as shown in Figure 4).

4. For the person who is allowed to edit the selected section, select the check box next to its name, and then click Yes, start Force protection, and enter a protection password.

Tip: To assign a password to a document so that users who know the password can be protected, select the Password radio button, type the password in the New Password optional box, and then confirm the password. To encrypt the document so that only the authorized owner of the document can be unprotected, click User Authentication (as shown in Figure 5).

This way, only the text of the selected area can be edited (highlighted), and no other areas that are not selected can be edited.

If you want to stop protection, click the Stop Protection button at the bottom of the Protect Document task pane to enter a password to remove protection.
