Usually we often need to write various reports, in the editorial report, there are always a variety of annoying operations, such as to quickly in the report of the designated page to switch between proofreading, repeat the same content, batch modify the same content, the report of the data to calculate and so on. In WPS2010 we can easily solve these problems by using bookmarks in conjunction with newly added cross-references, formulas, and more.
Quick positioning by Bookmark
The basic function of a bookmark is literally that you can quickly navigate to the desired location by inserting a bookmark in a common location, which is especially handy when you're editing a long report.
1. Insert Bookmark
Position the input cursor where you want to insert the bookmark, for example, before the "1. Cost accounting" heading. Click the Insert menu to select bookmarks or press CTRL+SHIFT+F5 to open the Bookmarks window (Figure 1). Enter the signature of the book as "Cost Accounting," and click the Add button to insert a "cost accounting" bookmark. In this way, insert the bookmark individually in all the places that you often view. Note: The book signature must not begin with Arabic numerals, otherwise the "Add" button will become gray can not press "add".
2. Quick positioning
Click the Edit menu to select position or press Ctrl+g to open the Locate dialog box. In locate target, select Bookmark. Click the drop-down arrow for enter a bookmark name, select cost accounting from the list (Figure 2), or type the bookmark directly, and then click the Position button to locate the 1. Second, the same content quick input modification
Usually there are a lot of text in the report, data will be repeated, in addition to repeated input annoying, once you need to modify all the same content is the biggest problem. In WPS 2010, as long as the use of bookmarks and the new cross-reference function, you can easily handle the same text data input and synchronization modification problem.
1. Set Bookmark
Select the value or text that you want to repeat in the document, we selected the first half of the gross output value "12.5 million Yuan", click the "Insert" menu to select "Bookmark", in the "Bookmark" window to enter the book signature for "first half output value", press the Add button to add a bookmark. In this way, you need to select the content that you want to repeat to set the bookmark.
2. Quick input
Position the input cursor to the location you want to enter, and click the Insert menu to select Reference/cross-reference. You can display all bookmarks in the following list by selecting bookmarks in the reference type Drop-down list in the cross-reference window. Select the first-half output value bookmark you want to insert, select bookmark Text from the reference content Drop-down list, and then click the Insert button to insert the contents of the bookmark "12.5 million RMB" (Figure 3).
3. Synchronous modification
To modify the data, simply modify the original data that was selected when the bookmark was set, and then press CTRL + A and then press F9 to refresh the field, and all the same content crossed by the bookmark is synchronized. Do not directly delete the original data to re-enter, otherwise the bookmark will be deleted together. You must first enter new data in the middle of the original data, and then delete the old data on both sides of the new data, so that the modified data can be updated synchronously.
In addition, annotations that are commonly used in the report to "see page xxx in this report" can also be implemented with cross-references. The input of XXX content is actually the same content input. As for the page y, you can insert the page number of the bookmark by selecting "page number" in the reference content Drop-down list in the Cross-Reference window, and then enter the text as detailed in this report, page, content, and so on. To refer to a heading that has a style set, you can choose to insert the page number, title text of the heading you want by simply selecting title in the reference type of the cross-reference window.
III. data calculation and format conversion
There are usually a number of values in the report that are calculated from other values in the document, so as long as the original data changes will have to be recalculated, modified is also very troublesome. In WPS, text with bookmarks and new table formulas can also directly refer to the values in the document to calculate the insertion results, and even can automatically convert the number into renminbi capital oh. The most important advantage in WPS is that the original data can be refreshed automatically after it is modified.
1. Marking the data used
As with cross-references, you would have to bookmark the values you use before you can calculate outside the table. To calculate the first half per capita output value, the first half of the total output value, production staff of two bookmarks, the specific set up methods will not repeat. The formula calculation ignores the text behind the data in the bookmark text, so the "first half value" bookmark set above can be used directly, and the formula automatically extracts the preceding 1250 for calculation.
2. Formula calculation
Position the input cursor where you want to enter the per capita value, click the Table menu, select Formula, type the formula in the formula window = Total output in the first half x10000/, and then insert the calculated per capita value at the input cursor. A book signature in a formula selects input from the Drop-down list of paste bookmarks, and does not have to be typed directly. You can also choose to use functions in the Paste function to calculate.
These uses of bookmarks are of course not only applicable to summary reports, in fact, in the usual editing contracts, articles, papers and so on all kinds of long documents are also necessary? In addition, if you feel that the manual refresh is cumbersome, you can set the automatic refresh before printing. Just click the Tools menu to select Options, select the Update field option under the Print tab, and then OK to return. In this way, after the modification of direct printing, WPS will automatically refresh the domain synchronization changes and then print. or click Print Preview to easily refresh the field automatically.
