To try it yourself, you can open Word, switch to outline view (from the View tab), and then type a short outline of your presentation. Press the TAB key to demote or press the SH + Tab key to upgrade the selected row. Then save your work and return to PowerPoint and follow these steps to import:

(1) On the Start tab, click the lower part of the new Slide button to open its menu.

(2) Click the slide (from outline) 0 Insert Outline dialog box to appear.

(3) Select the file that contains the outline text you want to import.

(4) Click Insert PowerPoint to import the outline.

If you have slides in your presentation, the slides remain intact. (including any blank slides, so after you import, you may want to delete the blank slides at the beginning of the presentation.) All headings L in the outline become separate slide titles, and all other subordinate headings become bullets on the slide.

1. Tips for achieving a better outline import effect Although PowerPoint can import all of the text in any Word document, it does not always get the results you wish. For example, you might have a document that contains a series of paragraphs, but no heading styles are applied. When you import this document into PowerPoint, the effect may be as shown in Figure 4.4.

Figure 4.4 is a brief example of what happens when a document is not prepared before it is imported into PowerPoint. PowerPoint makes each paragraph a slide in its own form. Unable to identify which is the actual title, which is not, because no heading style is used. The paragraph is too long to fit on a slide, and the paragraph is truncated and displayed at the top of the slide. Extra empty lines are interpreted as blank slides. It's a mess, isn't it? Figure 4.4 also shows an important point to keep in mind: Ordinary text passages do not perform satisfactorily in PowerPoint. PowerPoint text is a concise bulleted list and title. The better preparation you do before you import an outline, the less cleanup you will need after you import it. Here are some tips:

Do not import non-caption content from Word into PowerPoint unless you are using all of the untitled styles in your document (as shown in Figure 4.4). Apply a heading style to the text you want to import.

Only basic style z is used in the outline for example, only title 1 and Heading 2 are used.

Deletes all blank lines above the first heading. If not deleted, there will be some blank slides at the beginning of the presentation.

Reduce manual formatting in Word text as much as possible so that the text is formatted in PowerPoint. To do this, select the text and press CTRL + SPACEBAR.

Do not leave a line blank between paragraphs. Otherwise, these empty rows are replaced with blank slides or blank bulleted list items in PowerPoint.

Deletes all graphic elements, such as clip art, pictures, and charts. In summary, these elements cannot be converted to PowerPoint correctly, and may cause confusion in the import tool.

2. From other text-based formats in addition to Word, PowerPoint can also be imported from plain text files, WordPerfect (5.x or 6.x), Microsoft works, and Web pages. The import process is the same as the previous steps. If the file does not appear in the Insert Outline dialog box, change the file type to the desired file type.

If you are setting up a plain text file that is about to be imported, you obviously don't have an outline tool in Word that you can use. Instead, you can rely on tabs only. Each row that should be the title of the slide should start at the left: the first level paragraph should start with a tab character: the second paragraph starts with two tabs, and so on.

3. After importing the text from the outline, you may need to make some minor corrections. Complete the clean-up work on a per-list basis:

The first slide in the presentation may be a blank slide. If it's blank, delete it.

The title Slide layout may not apply to the first slide: if necessary, apply a layout. (Use the Layout list in the Start tab.) 〉

You may not have applied the theme, and if necessary, select one from the Design tab.

Some of the text may contain a manual format that interferes with the theme format and causes inconsistencies. Deletes all the found manual formatting. (One way to do this is to press CTRL + A in the outline pane to select all the text, and then press CTRL + SPACEBAR to cancel all manual formatting.) 〉

If part of the text is too long to fit well on one slide, you can replace it with another slide layout, such as two columns of content, if necessary. You may also want to split the content into two or more slides.

Some slides may have blank bulleted list items (if all extra paragraph marks are not removed before importing). Delete the content.
