In the document management system of the moss2007 era, a unique identifier (unique identifier) is required to effectively manage our documents. However, such a unique number was not provided at the time, and many users or developers had to find another way to achieve this requirement. Of course, in the previous moss2007, the system can use URLs to locate documents, but the main problem is that when you delete or move a document, the previous URL of the document becomes invalid. If you share a document by sending the document URL, if other users want to obtain the URL from which you previously sent it, it is doomed to fail.
Starting from sharepoint2010, the unique identification of a document is no longer a headache for others. You can use SharePoint's default entidprovider to generate a Document ID, or you can develop your own entidprovider to meet specific needs.

1. for unique document ID, we need to pay attention to the following features and restrictions:
1. Document unique IDs is not supported in SharePoint Foundation 2010. This feature is only available in standard and enterprise editions.
2. Only the document content type or the content type derived from the document content type can use the document unique IDs. This is easy to understand. Originally, the document unique ID is managed for the document, so of course it cannot target other types of content type.
3. You can set the unique number in a specific format.
4. You can save the document anywhere and find it through the unique number.
5. Throughout the document lifecycle, Sharepoint's records management and document management can all manage them through Document ID.
6. Document IDS is unique within the scope of site collection. However, by prefix unique document IDs, document IDs becomes unique across SharePoint farm ranges.
7. When you move a document in the SharePoint collection, the Document ID will not change with it. When you copy a document, the new document will have its own New Document ID.
8. If you use document set, this document set will have its own unique document ID, this ID is independent of the document IDs contained in the document set. They are independent of each other.
9. When you enable the Document ID feature, the system adds a new column to the document list (a column is actually added to the document content type ), after you disable the Document ID feature, the existing document IDs are still valid and will not be deleted as you disable the Document ID feature. However, the SharePoint system does not generate new mongonet IDs.
10. The SharePoint system has two timer jobs related to the document IDs service: Document ID enable/disable timer job and Document ID assignment timer job. you can set and enable two jobs in SharePoint Central Admin. By default, these two jobs run once a day, but you can run them in the setting center in real time through "Run now.

Ii. Let's take a look at how to start and configure our SharePoint environment to support unique document ID.
1. First, start and configure the Document ID feature.
Because the Document ID feature is at the site collection level, you need to go to the configuration management page of site collection to set it.
In your applicationProgramClick site actions --> site setting to go to the settings page.

Click the Link (site collection features under site collection administration) to go to the activation page.

 

Activate this service on the activation page

 

Return to the settings page and you will see an additional document ID setting in the site collection administration column. Click this item to go to the configuration page.

On the configuration page, you can set the document IDs prefix to determine whether to restart existing documents to use this prefix .....

2. Start the corresponding timer jobs
If you only enable the Document ID feature at the site collection level, you may not be able to immediately see the Document ID assigned to the document by the system, this is because the work of the Document ID feature depends on two timer job services (Document ID enable/disable timer job and Document ID assignment timer job). These two jobs need to be started in the SharePoint management center.
Go to the job definition page through the Management Center

 

Click the corresponding link on this page to go to the settings page, where you can manually run the corresponding job

 

Go back to the SharePoint website where the application is located, enter a doucment list, upload the document, and you will see that the document IDs Service is working.

 

 
Note that if you change the Document ID prefix settings, you must first run the Document ID enable/disable job, and then run the Document ID assignment job, pay attention to their running order so that you can see that your changes take effect.
