The cornerstone of document management-document organization

Throughout people's daily life, the concept of classification organization is everywhere, ranging from national, ethnic, and administrative regions at all levels to the creation, Dan, net, terminal, and ugliness on the stage; open the computer to browse the Web page, and the organization and classification of various websites on the Internet are overwhelming, and even a number of online navigation websites dedicated to classifying websites have emerged.

Classification organizations classify irregular things under different categories according to their internal relationships, making them easier to recognize, find, manage, and use. This is also true for document management. Clear document organizations can help users quickly understand the logical structure of documents in the system, facilitate search and orderly management, and facilitate user use.

However, I was surprised to find that most of the documents management products in China currently understand and take actions on document organizations in an unconscious or preliminary stage, so that users still cannot benefit from document organizations.

For a simple document organization category provided by an online storage product (2) and Windows 7 (3) in the initial stage, both of them have created some classified projects from a certain perspective, for example, "My music", "my photos/images", and "my videos" are used to classify files in simple formats, "Download", "favorites", and "shared files I received" are classified from the perspective of user behavior.

Such a classification organization method is not reasonable, the boundaries are unclear, and intertwined, often resulting in user confusion, and ultimately users cannot quickly and accurately obtain the required information. For example, "My Documents" may also contain video, audio, and image materials. Users may download all types of documents. Such a classification organization is equivalent to none for users.

How can we provide users with a more reasonable classification and organization? The industry does not agree on this. Different user environments and user preferences make it difficult for related products to extract suitable general templates.
