When talking about Word document security, people may think of setting the password for opening and modifying permissions. In fact, we need more careful protection in practical applications. For example, you are prohibited from modifying the format of the original document or editing the source document. These can be easily implemented in Word 2003.
I. Format Protection
Generally, documents have fixed formats. To avoid misoperation and change the inherent format of documents, we can protect them. Open the document to be protected, click the "Tools" menu, and select the "protect document" command to open the operation window on the right. Select the "restrict the style setting format of the option" and click the "set" button. In the displayed format setting restriction window, select all the formats to be protected, for example, you are not allowed to modify the header and footer. After the settings are complete, return to "protection document", click "Yes, enable force protection", and set a password in the pop-up window to make the settings take effect.
2. prohibit unauthorized editing
Sometimes we need to pass the document to different people for viewing. During the viewing process, we may want the other party to add comments, but do not want other edits. In this regard, we can select "only allow such edits in this document" in the "protection document" window, and then select "annotation" from the drop-down menu ", in this way, others can only annotate the document, but cannot perform other operations. If you select "no changes (read-only)", no changes will be made. However, remember to click "Yes, enable force protection" to make the settings take effect.
After the above modification, you will find that when we move the mouse to the protected document, many buttons on the format toolbar are in the gray unavailable state, this indicates that our protection has taken effect.
If you need to re-edit or modify the document, you can continue to open the "Tools" menu, select "Disable Document Protection", and enter the password you set in the pop-up window to restore the file.
