A building block is a content fragment or other document part that is stored in a library that can be reused. You can access and reuse building blocks at any time. You can also save building blocks and distribute them along with the template.

You can use AutoText (a type of building block) to store text and graphics that you want to reuse, such as standard contract terms or longer distribution lists. Each selected text or graphic is stored as an AutoText entry in building block management, and it is assigned a unique name to find the content when you want to use it.

Create reusable Content building blocks

1. Select the text or graphic that you want to save as a reusable building block.

To store paragraph formatting (including indentation, alignment, spacing, and paging) with the input, include paragraph marks in the selection (

)。

Note To view the paragraph marks, on the Start tab, in the Paragraph group, click Show/Hide.

2. On the Insert tab, in the Text group, click Document Parts, and then click Save the selection to the document part gallery. or press ALT+F3.

3. Populate the information in the New Building Block dialog box:

Name Type a unique name for the building block.

The library selects the library that stores the building blocks.

Category Select a category, such as general or built-in, or create a new category.

Description Type a description of the building block.

Save location Select the name of the template from the Drop-down list.

Option Select Insert content into its own page to ensure that the building block is placed on a separate page. For even if the user's cursor is in the middle of a paragraph and should not be part of another paragraph, select INSERT into paragraph. For all other content, select Insert content only.

Find and use building blocks

1. Click in the document where you want to insert the building block.

2. On the Insert tab, in the Text group, click Document Parts, and then click Build Block Manager.

If you know the name of the building block, click Name to sort by name.

3. Click Insert.

Change Content Building Blocks

You can make changes to the building block by replacing it. Insert the building block, make the changes you want, and then save the building block with the same name.

1. Click where you want to insert the building block, such as an AutoText entry.

2. On the Insert tab, in the Text group, click Document Parts, and then click Build Block Manager. If you know the name of the building block, click Name to sort by name.

3. Click Insert.

4. Make the required changes to the building block.

5. Select the revised text.

To replace the original entry in the library, the name, category, and library must match the original entry.

Note You can add a building block to any number of libraries.

8. Do you want to redefine the building block entry? , click Yes.

Renaming building Blocks

1. On the Insert tab, in the Text group, click Document Parts, and then click Build Block Manager.

2. Click the name of the building block that you want to rename, and then click Edit Properties.

3. In the Modify Building Block dialog box, type a new name for the entry, and then click OK.

4. Do you want to redefine the building block entry? , click Yes.

Save and distribute a building block with a template

You can access and reuse building blocks at any time. You can also distribute building blocks with templates. For example, you can create a report template that provides two types of functions to select when a template user creates your own report based on your template.

1. Create a template to which you want to add building blocks for template users to select.

2. Save and close the template.

3. Open the template. Leave the template that you want to add building block options to for the template user to remain open.

4. Create the building blocks that you want to provide for template users. When populating information in the new Building Block dialog box, make sure that you click the template name in the Save in box. Use the same category name for all the specific building blocks that you want the user to select.

5. In the template, click the location where you want to add the library selected by the user.

6. On the Development Tools tab, in the Controls group, click Build Block Library.

7. In the controls group, click Design Mode, and then click Properties.

8. In the Title box, type the caption that you want to appear in the content control. For example, you might want to provide a descriptive title to the user, such as the Name of a.

9. Under Building block properties, select the libraries and categories of building blocks that you want users to select from.

10. Save and close the template.

11. Distribution template. When you send or provide a template to others, the building blocks that are saved with the template are provided in the library that you specify.
