At work, we should stick to using Email instead of IM (such as MSN and QQ) for the following reasons:
1. the Email is stable and the IM is transient. Emails in emails exist in a stable form. If two people communicate via Email, the communication results will be kept on the Email server; generally, IM software only keeps chat records on the client, rather than storing all chat records on the server. Therefore, if you leave the original client, you can completely resume the communication process by Email, but IM cannot. You need to know that communication at work often needs to be recovered, and often such recovery is done by others, so IM cannot be recovered. When you sort work logs or summarize work logs after a work cycle, you can use Email to exchange a lot of materials, the key Email can be used as evidence of your due diligence.
2. Email is continuous and linear, while IM is discrete. Emails on the Email server are generally stored in a continuous manner. You can always find what you want by using timeline backtracking. In addition, the information in the Email is bound together (such as text and attachments), so that you can find the overall information rather than local information. IM is discrete. When you accept text, you may put the attachments that should be included in another place, so that you can't start using timeline backtracking. What you get is a group of fragments of information recorded by multiple chats and a bunch of attachments that are transferred. In vain, you have added additional work to rematch information, the rematching result is often incorrect.
3. Email is free and non-violent, and IM is not free and violent. Email-based communication is a non-violent method. The recipient can open an Email at any time. You give the recipient the freedom to read. When you are at work, you can also browse emails after a period of continuous work. As long as the arrangement is reasonable, you will not delay the sender's key Email. Free continuous work is the most efficient, and the mood is the best. In contrast, IM will always interfere with your workflow. Even if you disable IM, someone will always remind you to enable it. Both parties did not give each other the freedom to read, and thus lost their freedom to control their work. When IM has repeatedly disrupted the pace of your work and affected the workflow you just started, your work efficiency will naturally burn.
For the above reasons, do I have to stick to using IM instead of Email? I have seen many software engineering books that advocate the use of IM for software development and communication, which is really a wrong choice. Email attachments cannot be too large. You can use Email + FTP links. I would like to recommend that you carefully read the Gmail help documentation and use the Tag method and Calendar ar to convert Gmail into a powerful Office tool. In addition, I always think that Outlook is more important than Word/Excel in Microsoft's Office suite, while MSN Messager is not a member of the Office suite!
