The composition of word footnotes and endnotes

A footnote or endnote consists of two linked parts: a note reference mark and its corresponding annotation text. You can use any length of text in a note and format the annotation text as you would any other text. You can customize the annotation separator, which is the line used to separate the body of the document from the text of the note.

The role of word footnotes and endnotes

Footnotes and endnotes are used to provide explanations, comments, and related references for text in a document in a printed document. Footnotes can be used to annotate the contents of the document, and endnotes to describe the referenced literature. When you write a document that needs to be referenced, you can easily explain the source by using footnotes to add comments at the bottom of the page, or by using endnotes to add comments at the end of the document. You can also use footnotes and endnotes to enter additional descriptive material, or even to enter extraneous commentary that is not appropriate for the main text in the body of the document.

View footnotes and endnotes

You can view the annotation simply by resting the pointer on the note reference mark in the document. Double-click on the comment reference mark to switch to the position of the note text.

Insert a footnote or endnote

Microsoft Word can automatically number footnotes and endnotes, whether the entire document uses a single numbering format or a different number format in each section of the document. The operation is as follows:

1. In Page view, position the cursor where you want to insert the footnote and endnote;

2. Click on the menu bar "Insert"--"reference"--"footnote and endnote", pop-up "footnote and endnote" Settings window.

3. In location, select footnote or endnote, and by default, Word places the footnote at the end of each page and the endnote at the end of the document. Make a selection in the footer or endnote box to change the position of the footnote or endnote.

4. Click the format you want in the number format box, or you can customize the format.

5. Click the Insert button to insert a footnote or endnote, Word automatically inserts a footnote or endnote, and positions the cursor where you enter the note text for the footnote or endnote, and the user enters the comment text.

Tips:

Repeat for each section if you have more than one section in your document.

You can also use shortcut keys to insert footnotes and endnotes, select the numbering format and other options based on the above steps, and then insert the following footnotes and endnotes with a shortcut key. Press Ctrl+alt+f to insert the footnote, and press Ctrl+alt+d to insert the endnote.

Delete a footnote or endnote

To delete a footnote or endnote, simply delete the comment reference mark in the document window. If you delete an automatically numbered annotation reference mark, Microsoft Word automatically renumber the annotation and automatically deletes the comment text for the comment reference mark.

Move or copy a footnote or endnote

To move or copy a comment, manipulate the comment reference mark in the document window, not the text in the annotation. If you move or copy an AutoNumber annotation reference mark, Microsoft Word automatically renumber the rest of the comments. Select whether to move or copy the note reference mark.

If you want to move a note reference mark, drag it to a new location.

If you want to copy the note reference mark, press CTRL and drag it to the new location.

Conversion between footnotes and endnotes

Convert all comments to footnotes or endnotes: Click on the menu bar "Insert"--"reference"--"footnote and endnote", pop-up "footnote and endnote" Settings window, click the "Convert" button. Click the options you want, and then click OK.

Convert one or more comments to footnotes or endnotes: Switch the document to normal view (click View on the menu bar--"normal"), click View--"footnote" in the menu bar, and select View "Endnote area" or "footnote area" in the pop-up window. The footnote or endnote contained in the document appears in the comment pane below the document. Right-click on the footnote or endnote you want to convert, and select Convert to Endnote or convert to footer.
