Using Office Web Apps in SharePoint

On SharePoint sites that have Microsoft Office Web Apps installed and configured, through Office Web apps, you can view and edit Office documents from anywhere you connect to your organization's SharePoint site, based on your browser. If you are using Microsoft Office 2010, you can save Word, Excel, PowerPoint, and OneNote documents directly from your Office program to SharePoint. Even without office 2010, you can store documents in a SharePoint library and start using Office Web Apps immediately.

Overview of Office Web Apps

As you know, Microsoft Office programs, including Word, PowerPoint, Excel, and Onenote,office Web Apps, extend these programs, giving users a great benefit by adding anywhere access and easy sharing capabilities.

When you click an Office document that is stored in a SharePoint library, the corresponding document opens in the browser immediately. Documents look the same in the browser as they do in Office programs, and office Web Apps also enables you to edit documents in your browser with a familiar office look. Office Web Apps can run in some of the most widely used browsers, and are already in Windows Internet Explorer 7 and later, Safari 4 for Mac, firef for Windows, Mac, and Linux The Ox 3.5 is officially supported.

If the changes that you want to make cannot be performed in the browser, you can easily open the document by using the Office program on your computer and save it back to the document library when you change it.

Office Web Apps makes it easier for you to do the following:

extend the Office experience to the Web by using familiar Office tools in a Web environment.

work anywhere you need a single browser to access your documents.

collaborate on projects with team colleagues, regardless of the version of Microsoft Office they use.

To use Office Web Apps in SharePoint, you must have access to a SharePoint site that has Office Web Apps installed and configured.

Start using Office Web Apps in SharePoint

To store files on a SharePoint site, you can start with a SharePoint page in your browser or from an Office program. If you do not have an Office desktop application installed on your computer, you can use a browser to create a new document in the SharePoint library.

Start from a SharePoint page in the browser
    1. Go to a document library on a SharePoint site.
    2. On the Document tab, on the Library Tools tab, click the arrow under Upload Document .
    3. Click Upload a single document or upload multiple documents, depending on whether you want to upload one or more documents.
Starting with Office 2010 in Word 2010, Excel 2010, or PowerPoint 2010
    1. You open a file in Microsoft Word 2010, Microsoft Excel 2010, or Microsoft PowerPoint 2010.

Click the File tab.

    1. Click Save and send, and then click Save to SharePoint.
    2. Click Browse Location to locate the SharePoint site.
      1. Note If you want to save the document to a SharePoint location that you have already used, click its name.

    3. In the file name box, type the WEB address of the document library, such as http://fabrikam/shareddocuments, and then press Enter.
    4. Type a name for the file, and then click Save.
In OneNote 2010
    1. Open the Notebook in Microsoft OneNote 2010.
    2. Click the File tab, and then click Share.
    3. Click the notebook you want to save.
    4. Click Network, and then click the appropriate document library in the location list. If the document library you want is not listed, click Browse to locate the document library.
    5. Click Share Notebook.
    6. With OneNote, you can send a link to a notebook. If necessary, click Send a link by e-mail and compose an e-mail message. A link in the message opens the notebook in the OneNote desktop app, while another link opens the notebook in the OneNote Web app.
Start from a computer that does not have Office installed

Administrators of SharePoint sites can configure document libraries so that Office Web apps can be used to create new documents without the Office desktop application installed on the computer.

    1. Go to a document library on a SharePoint site.
    2. On the Document tab, on the Library Tools tab, click the arrow under new document .
    3. Click the new document type that you want to create. These options can be customized by anyone who manages this library.
    4. Type a name for the document, and then click OK. The document will open in the appropriate Web App.

Working with Word documents view your organization's documents in the browser

If a colleague stores the document in your organization's SharePoint library, you can use Word Web App to view the document without starting Word. You can find content in your document that you're interested in, or even copy and paste.

Go to the document library on the SharePoint site, and then click the link associated with the Word document.
The document opens in Reading view.

Edit Documents Anywhere

The report is nearing completion and is saved in the Workgroup SharePoint library. You want to finish it before you go home, so you quickly open it in your browser and type in the last two paragraphs.

    1. Go to the document library on the SharePoint site, and then click the link associated with the Word document.
    2. Click Edit in Browser.
      Word Web App switches to edit view, and the way the document is displayed may change, but the content will not change.
    3. When you are finished, click the File tab, and then click Save.

If the changes that you want to make to the document do not complete in the browser, do the following:

    1. On The Start tab, click Open in Word.
    2. Save the document in Word. It will be saved back to the SharePoint site.
Print from browser

A document that you print from a browser looks the same as the document that you printed from Word.

After you open the document in the Word Web App's reading view, click the File tab, and then click Print.

Note You must have a PDF viewer installed to print in Word Web App. If the PDF Viewer is not already installed, you will be prompted to download it.

Working with Excel workbooks using live data

When you view a spreadsheet, you interact with real-time data. You can sort and filter columns, or expand a PivotTable report to see relationships and trends. You can also recalculate values and refresh the data.

Go to the document library on the SharePoint site, and then click the link associated with the Excel workbook.
The Excel Web application opens the workbook in a specific mode, where you can view, sort, recalculate, and refresh the data.

Edit a spreadsheet in the browser

When you edit a spreadsheet in a browser, you can change the data, input, or edit or formula and apply the basics.

    1. Go to the document library on the SharePoint site, and then click the link associated with the Excel workbook.
    2. Click Edit in Browser.

If the changes that you want to make to the workbook do not complete in the browser, do the following:

    1. On The Start tab, click Open in Excel.
    2. Save the workbook in Excel. It will be saved back to the SharePoint site.
Work together on spreadsheets

Need to work with signature tables or group projects? You can work together on the same workbook with others, no longer need to send an edit list by e-mail, or wait for a team colleague to check it back in to a SharePoint site.

    1. Click the link associated with the Excel workbook, and then copy the URL that appears in your Web browser to the e-mail or instant message that you want to be sent to the person you want to collaborate with.
    2. In the Excel Web App, click Edit in Browser to edit the workbook.
      The person receiving your message or instant message can click the link you sent to edit the workbook with you. Everyone can see each other's changes.

Working with PowerPoint presentations viewing a presentation in a browser

With the PowerPoint Web App, you can review your team's slides or page through your presentation in a Web browser without waiting for PowerPoint to open the presentation on your computer.

    1. Go to the document library on the SharePoint site, and then click the link associated with the PowerPoint presentation.
    2. Click the arrow button at the bottom of the screen to browse through the slide, or click Start slide to show the slide in full screen view.
Add some slides quickly

If a colleague wants you to add a few slides to a team presentation, you can do so quickly in the browser.

    1. Go to the document library on the SharePoint site, and then click the link associated with the PowerPoint presentation.
    2. Click Edit in Browser.
    3. Click New Slide.

If the changes that you want to make to your presentation do not work in the browser, do the following:

    1. On The Start tab, click Open in PowerPoint.
    2. Save the presentation in PowerPoint. It will be saved back to the SharePoint site.

Work with a OneNote notebook to share notes with your organization

OneNote Web APP provides a central location for you and your team to collect notes, brainstorm on a topic, or summarize the bits of information used to prepare formal documents.

    1. Go to the document library on the SharePoint site, and then click the link associated with the OneNote notebook.
      The notebook opens in edit view, and you can add some notes at any time.
    2. If the changes that you want to make to your notebook cannot be completed in the browser, click Open in OneNoteon the Start tab (OneNote 1010 is required).
      OneNote Web App automatically saves your changes to a SharePoint site.
Brainstorming

In OneNote Web App, you can work with others at the same time. Like a Wiki page, you can see who has changed and what changes it has made, and you can roll back the page to a previous version if someone's changes don't fit your mind.

    1. Click the link associated with your OneNote notebook, and then copy the URL that appears in your Web browser to an email or instant message that you want to send to the person you want to collaborate with.
    2. In OneNote Web App, click Edit in Browser to edit your notebook. The person who receives your message or instant message can click the link you sent to edit the notebook together with you. Everyone can see each other's changes.
    3. To track content providers and what they provide, click The View tab, and then click Show Authors.
    4. To view an earlier version of the page, on the View tab, click page Version, and then click the timestamp of the version that you want to view.

Mobile device Access

With mobile viewers for Microsoft Office, you can use a browser-enabled phone to read Microsoft P in an organization that has installed and configured Microsoft Office Web Apps on a SharePoint site Owerpoint, Microsoft Word, and Microsoft Excel files. Even if your phone doesn't have a Microsoft Office Mobile 2010 app installed, you can view reports or review important presentations on the go.

The following devices provide support for Mobile viewers for Office:

    • Windows Mobile
    • BlackBerry
    • IPhone, IPod Touch
    • Android
    • Nokia S60
    • Japanese phones (including DoCoMo, SoftBank and KDDI by AU phones)

To view Word, Excel, or PowerPoint files, use your phone's browser to navigate to the SharePoint library. The URL of the library in the mobile browser is the same as the URL shown in the Address bar of the desktop browser.

Notes URLs may vary depending on how the WEB proxy is configured and displayed. On a SharePoint server that has the SMTP service enabled, you can obtain the URL of the document's enabled proxy by doing the following: Select the check box next to the document in the library, and then on the Document tab on the Ribbon, in the share and track group, click send a link by e-mailto receive an email containing that address.

Tip You can preview what will appear on your phone on your computer by adding it at the end of the URL for the SharePoint library. mobile=1 .
