A tutorial on printing Excel worksheets

Once you've set up your worksheet and sometimes you need to print it as a paper file, learn how to print the spreadsheet in Excel.

Print settings

Print page settings to adjust paper placement direction, size, print quality, and so on, click the Page Layout tab, and in the page Setup area you can see the page Setup buttons that Excel provides, as shown in Figure 1.

Setting the page paper size, margin, and paper orientation in Excel is similar to setting the page paper size, margins, and paper orientation in Word, as you can see in this section of Learning Goal 3.

(1) Set the print title

Under normal circumstances, the printer will only print the contents of the worksheet, if the contents of the worksheet is more than the need to spread to print, when the spread of the content of the page is printed, there is no title, resulting in browsing difficulties. In Excel, we can set a title for each page to make it easier for users to view content on other pages.

Step 1th, click the Page Layout tab, and then click the Print Title button in the Page Setup area to enter the worksheet.

Step 2nd, click the left mouse button in the text box after top header row under Print title, and select the row in the spreadsheet to use as the caption, such as the first row and the second row, as shown in Figure 2. When you are set up, click the OK button.

Step 3rd, click the Preview button to see that other pages other than the first page also have captions, as shown in Figure 3.

(2) Set the printed page number

Excel provides support for quickly adding page number content.

Step 1th, click the Page Layout tab, and in the page Setup area, in the Click Dialog Box Launcher, open the Page Setup dialog box.

Step 2nd, click the Header/Footer tab, for example, to add the number of pages printed in the footer, click the Drop-down button in the footer area, select the number of page number expression format, such as page 1th, as shown in Figure 4, click OK.

Print Preview

Before you print, many users perform a print preview, look at the printing effect, and then print the file.

(1) Print preview

Click the Print Preview button in the Quick Access Toolbar, as shown in Figure 5. pops up the print preview window to show the printing effect.

(2) Adjust the ratio of print preview

In the Preview Print window, to be able to preview the printed effect more 淸, click the Zoom button to pop up the zoom window. Select the Scale list option displayed, such as 200%, and click OK. As shown in Figure 6.

Tip: If there is less content on the page, a page is sufficient for full display. Click the Zoom button to display the Zoom dialog box.

(3) Paging preview Print Worksheet

How do I know where to print a file? The easiest way to do this is to preview the paging effect by printing the paging page.

Click the View tab, click the page splitting Preview button in the Workbook view area to achieve a page preview effect, as shown in Figure 7. In the preview, we can see that the background color is the white area for the print area, and the other gray area is the nonprinting area.

Tip: The paging preview effect is primarily used to preview the printed area. But it is not suitable for editing materials. If you want to edit the data. You can click the View tab. In the Workbook view area, click the Normal button. You can cancel the paging preview effect.

Quick Print

If the user determines that the entire worksheet that is currently being edited needs to be printed and does not need to adjust the page and print settings, you can perform a quick print directly to improve productivity.

Click the MicrosoftOffice button to perform the print-quick Print command, as shown in Figure 8.

You print a spreadsheet in Excel, and the printer is set up in a similar way when you print a document in Word.
