Discussion: too much information! The information is too complex!
Zhou yinhui
I have been worried about this problem during this time. While I am seeking a solution alone, I would like to hear your experiences and opinions. However, note that the scope of the discussion is personal, not a team, but you may wish to use the team experience.
The so-called too much information is too complex: Every day we receive a lot of information, materials, plans, and so on (hereinafter referred to as "information"), how to deal with the information, how to save the information, it is important to track these plans. Otherwise, after a long period of time, a lot of data is lost, and the plan is not tracked and delayed. Even if it is not lost, it is inconvenient to search. In addition, information is scattered everywhere, including Outlook emails (which may be local files or Web servers), countless links in favorites, countless Excel files, PDF files, Word documents, there are also diaries in OneNote, how to organize and back up in a unified manner (how to back up scattered information and simply back up the entire computer ?), Synchronization (I have two laptops, one at the company and the other at home. It is quite troublesome to take the test continuously ). For the team, it is quite convenient to use xplanner or other XP tools to track tasks, but for individuals, is there a good tool? (Outlook calendar can be used as an alarm clock ). In addition, every day, too much information will relentlessly distract your attention. In the end, everything is done, but nothing is done. How to filter them and focus on what you should focus on? Too much information. What should I focus on?
Okay, I complained so much, but there are several problems:
How can I filter this information so that it does not bother you?
How do I organize and maintain important information so that it is not lost or easy to find?
How do I track this information to make the plan better executed?
Can they be unified instead of using one hundred tools and scattered in one hundred places?

• Habit 1: Collection-comprehensive collection
Carry a notebook (or any recording tool) with you to record any task, idea, project, or other information that flashes into your brain. This habit is basically the same as that of GTD, but ztd only needs a small, portable, and easy-to-use tool to record information. You must write down the information before you forget it, and clear it from your notebook as soon as possible and store it in the task list.
• Habit 2: Process-quickly make decisions on information to avoid inbox Accumulation
The accumulation of raw materials in the inbox is an important cause of delay. You can avoid accumulation of raw materials only by timely processing information, making timely decisions on raw materials, and classifying them into classes. I suggest processing the inbox at least once a day, from top down to one task, just like what GTD does: two-minute rule, delete, assign to others, archive, or put it on a calendar.
• Habit 3: Plan-set the most important thing every day and every week (MIT)
Every week, list the major events you need to complete and schedule them. 1-3 most important tasks (MITS) are listed every day ). In this way, your goals are set every day and every week. Instead of blindly completing the long task list, you are always doing the most important and useful things!
• Habit 4: Execute-one task at a time
Execution, as the core of all time management, is a very important part of ztd. You should execute only one thing at a time in a non-Distracting situation. Do not work on multiple lines or make your work suddenly interrupted.
• Habit 5: Trusted systems-create a simple list and view it daily
We recommend that you keep the list as simple as possible. Do not add complex systems or try new tools continuously to avoid wasting time. Use a simple listing method as much as possible, because you focus on how to execute tasks rather than playing with your GTD system or GTD tools.
• Habit 6: Management-a place where all information is stored
Put all received information in your collection box, process your collection box, execute the task, and complete the task. In this system, you should never have questions about what to do next. It also enables you to focus more on your work and avoid delays.
• Habit 7: Review-review your system and goals on a weekly basis
The significance of weekly review is that it gives you a chance to reorganize everything and examine what is the most important task. The Weekly Review in GTD is already very good, and it is still used in simple operations (ztd). However, we have added importance to the Goal Review. You only need to concentrate on one goal each time and make sure it is a goal you can accomplish.
• Habit 8: simplify-reduce your task list and leave only the most necessary
Simplify the list of your tasks to the least, with only the most important tasks left, so that you do not need complex planning systems. Since GTD does not prioritize tasks, all tasks are added to a list, so this list becomes longer and longer, and you have to be tired and busy every day to complete the task. Instead, ztd requires you to constantly simplify your task list and determine that your task is only the most important
• Habit 9: regular-set weekly and daily routines
Setting weekly and daily routines can greatly simplify your work and personal life. More importantly, you can take control of your own life, rather than leaving your tasks stranded. Without a schedule, we cannot easily say no to new information. Because we are always held by people who want to take up our time and websites that attract attention, this is not a good thing (unless you don't want to do anything important ), so you need to take control of your own life, set the schedule, and follow it
• Habit 10: passion-do things that are full of dreams
When you really want to do one thing, no matter how hard it is, you will do it. You will make more efforts, take more time, and reduce the delay. Therefore, cultivating this habit is to keep searching for things that keep you enthusiastic, so that you are full of energy and motivation.
