GTD is the abbreviation of get thing done. It is translated as "Finish Things". The Chinese name of David Allen is "Do It Now". The core concept of GTD is that you must record what you want to do, and arrange yourself to execute it one by one. It is simple to say and difficult to do. Let's take a look at the five core principles of GTD: collection, sorting, organization, review, and execution.

1. human brains are powerful and can store many things, but it is difficult for an adult to recall all childhood things. Instead of letting the brain store so much information, it is better to take the information out of your mind and put it on paper, so that the brain can release it to think about how to do a successful thing. Therefore, the first step of GTD is to "collect" all the information (tasks, ideas, projects, and so on) that appears in your mind) record your work on a portable notebook (or any tool suitable for you), clear your work from your brain, and record what you can see. GTD calls this a collection box ".

TIPS: When recording work on paper or other devices, you should pay attention to the priority and think about which of your jobs has the highest priority.

Recording skills: There are two types of recording tools: online and offline. Outlook tasks and calendars can be used for online reminders. For example, when do you need to call James, when do you want to send an email to James, and when do you want to go to the meeting. You can also use Google Calendar sync to synchronize the Google Calendar and Outlook calendar, which can be viewed at any time in multiple office locations.

Offline tools are paper pens and mobile phones. Here we recommend paper and pen first. After you "collect" all the information, it is "processed.

2. The original English meaning of "Processing (sorting)" is process. I have extracted three important content:

1) if you do not put any information back in the collection box, a check box will be provided after a task is processed.
2) if any job needs to be done, execute it immediately (if it takes less than two minutes), delegate or extend it.
3) otherwise, it will be archived or deleted, or it will be defined with appropriate targets and situations for further implementation.

Two-minute principle: I can't help but mention the two-minute principle of processing. What I think is more detailed: The one-second + two-minute principle, which evaluates the sudden interruptions in one second, it can be solved within two minutes, no matter what it is, immediately start to solve it. If it cannot be solved within two minutes, proceed to the next step. We can't drag on here. one thing and one thing can be used with one mind. After processing one thing in two minutes, we will immediately return to the main task.

3. "organization ". "Organization" should be the most critical aspect in GTD. Organizations are divided into organizations for the next step and those for backing up data.
The organization of the next action can be divided into: Waiting for processing list, future processing list, And next action list.

1) The waiting for processing list mainly records jobs that are delegated to others. For example, if you have an email asking who is responsible for this task, you can transfer it to the supervisor, you can arrange for subordinates to do this.
2) The future processing list is a future plan that records the processing delay and does not have a specific completion date.
3) The next step is the specific next step. In addition, if a task involves multiple steps, you need to refine it into a specific project. The tasks that foreigners think cannot be completed within two minutes and require a series of actions are called "projects ".

Outlook is often used for time management. You can also create @ todo, @ waiting, and @ next folders in outlook for "Organization" tasks. Remember to see Togo using the daily to-do folder at work.

The backup data comes from the processing results of actions on the task. The organization of backup information is mainly a document management system. Many tools can be used to archive the information. I used to use the Web fast capture. Now I find OneNote is good, and onenote2007 is recommended.

4. "review ".

My understanding of the review is a PDCA cycle. In the Weekly Review, we should compare our annual goals, review our progress in the past week, and develop a plan for the next week. For example: review your long-term, mid-term, and short-term goals, your notes in OneNote, your schedules in outook, your list on paper, and your project progress and so on.

At present, I use daily review and Weekly Review to review my work and other things, to see where it is not doing well, and to make improvements and make adjustment plans again.
