Designed for shared access, the exchange public folder provides an easy and effective way to collect, organize, and share information with others. Public folders organize content in a deep-level structure that is easy to browse. Users can see the complete hierarchy in outlook, which facilitates them to browse the content they are interested in.

Public folders are powerful and can be deployed based on the permissions of active directories. For example, who can access public folders and who can send emails in public folders, who can see these public folders, who have the permission to create new emails, who have only the read permission and those who have the permission to delete the emails.

To put it simply, a public folder is like an FTP server for users to use, and you can also set the corresponding permissions.

In exchange 2013, the public folder is improved again, and the independent public folder database is canceled. Instead of canceling the public folder function, the function is placed in mailbox, this avoids the use of your own high availability mode for public folders when deploying high availability, and the use of Dag high availability mode for mailbox databases, now you only need Dag to achieve high availability of public folders and mailbox databases.

The public folder of exchange2013 is applicable to clients such as Outlook Web app, Outlook 2013, Outlook 2007, Outlook 2010, and outlook for MAC of exchange 2013.

The following example shows how to use a public folder.

First, create three public folders and set the corresponding permissions.

Public folders of group companies: these folders are used to store announcements and notifications of the entire group company. Users can only view them but cannot perform any operations;

Management Group public folder: this folder is used to store the documents and announcements sent by management personnel. Management personnel can edit and modify the folder and create subfolders. Normal users cannot see the folder in exchange;

Common group public folders: these folders are used to store announcements and notifications for common employees. Common users can edit and modify them to create subfolders. Management personnel cannot see this folder in exchange;

The All distribution group contains the user1 and user2 members.

Manage the distribution group containing user1

The common distribution group contains the user2 member.

You must create a public folder mailbox before creating a public folder. The public folder mailbox contains the hierarchical information and content of the public folder. The first created public folder mailbox is a master-level mailbox, which contains only write copies of the hierarchy. All other public folder mailboxes are auxiliary mailboxes that contain read-only copies of the hierarchy.
