If you need to send a message to multiple objects in Outlook2003, you only need to enter multiple e-mail addresses with semicolons at the time you specify them, or you can use the CC method, and if you have more objects, you may use a distribution group to achieve mass, but either way, the impression is not too good, After all, it doesn't look too polite, hehe.
There are ways we can use contacts for mail merge, this is a process of adding names and addresses to a large number of distributed mailing labels, envelopes, form letters, classifications, e-mail messages, or faxes, which can be used to deliver bulk mail, without the feeling of "spam" when the recipient receives the message, It is especially suitable for enterprises to send commercial mails.
1th Step: Edit the Contact list
For ease of operation, it is recommended that you first edit your contact list in Outlook2003, which can be done in many ways, either manually or from OutlookExpress, Foxmail, or other files.
2nd Step: Edit the message
To ensure that the mail merge function works, we must use the Word2002 or later version. First of all, type the appropriate message content and formatting in Figure 1, and then open the Mail Merge task pane.
3rd Step: Select recipients
It is clear that we should choose "e-mail" as the document type, so that we can send the email to a group of people, click the "Next" button two times to go to the "Select Recipient" Step, as shown in Figure 2, as we have completed the creation of a contact list in Outlook2003, So here you can select the "Select from Outlook Contacts" item, and then in the Figure 3 window, select all recipients that need to receive the message, and then click OK to return to the Mail Merge Wizard.
If the recipient address is saved in a text file or Excel worksheet, you should select the Use an existing list item.
4th Step: Insert Merge fields
Now, we should insert the corresponding merge fields in the Mail document. First, position the insertion cursor where the field content should appear in the message, as shown in Figure 4, where we insert a greeting in front of the message so that Word2003 automatically displays the greeting based on the recipient's information, such as "Mr. Zhang ", Miss Zhao, but please note that we do not need to insert the recipient's e-mail address here."
Step 5th: Merge messages
Click the "Next" button, Word2003 will display the preview content, if there is no error, confirm will be based on the contact list of the e-mail address automatically merge all the messages into the Outlook2003 Outbox, and then we can send these special messages out.
Alternatively, we can switch to the Contacts pane in Outlook2003, select the appropriate recipients, and then choose Mail Merge from the Tools menu, and then. The dialog shown in Figure 5, in general, we should select "New Document" in the "Document Files" section, but if there is already a ready-made mail document, select "Existing document".
OUTLOOK2003 allows you to save your contact data as a CSV-formatted file during a mail merge so that you can reuse it later; When merging, we can specify the type of document, such as form letters, mailing labels, envelopes, or a list of categories, or you can choose to merge to a new document, Printer or email, of course we choose to merge to "e-mail" and simply complete the content of the subject line here.
After the above, click the "OK" button, Outlook2003 will automatically call word to create the mail document, and automatically activate the Mail Merge toolbar, the next operation here is not much to say, friends may wish to try.
