In order to facilitate the management of the established exchange mail server for better enterprise or user use, it needs to be fully set. This article briefly describes some operations on the recipient part. This article is also published in http://technet.microsoft.com/zh-cn/ff623011.aspx

To facilitate exchange management, we recommend that you create a user in the ad user and computer and add it to the domain administrator group and local administrator group.

Exchange2003 has four types of email receiving objects: Mailbox, custom receiver, list, and public folder.

Create user email

Create an email account:

Right-click a user and select the exchange task ,:

On the exchange task Wizard Page, select "create mailbox ";

Create a mailbox for user Doris. You can set the user's Doris alias here. We recommend that you do not modify it.

If you create a mailbox for multiple users, select multiple users, right-click and select "exchange task", and select "create mailbox" in the task.

After installing the Exchange Server, create a new user and create a mailbox at the same time as the new user.

Create a query-based distribution group

Query-based distribution groups are dynamic by query conditions. For example, you can create a query-based distribution group named "manager". The distribution group name is Manager, before creating this distribution group, you must enter basic information such as the employee's position on the employee Property Unit tab;

Create a query-based distribution group and enter the group name;

Select a custom filter and click custom;

On the "advanced" tab, select field-user = job title. The condition is "yes" and the value is "caiwu". Click "add" and click "OK.

Open the new query-based distribution group and click the preview tab. You can see that the new query-based distribution group contains users that meet the query conditions.

The query-based distribution group is dynamically updated. Once a qualified user is found, the group is immediately added for ease of use.

Create contact list

Ad groups are security groups and distribution groups. Security groups are assigned permissions, and distribution groups are used for exchange mail address lists. If there is no exchange, the distribution group has no effect. The distribution group is designed for exchange.

The Communication Group can contain several users. The advantage of the Distribution Group is to send an email to the distribution group. All users in the Communication Group can receive the email. With the distribution group, the mailing list is easy to implement, the Mail List is closely related to user management.

Open the ad user and computer, and create a global distribution group in the user folder,

Create an Exchange mailbox;

Then, select different users and add them to the distribution group respectively to send emails to all members of the Distribution Group on the Outlook client.

The difference between contacts and users with email functions is that contacts are external customers of the company, while users with email functions are employees of the company (that is, the contacts are non-local users, users with email functions are domain users. The similarities are that both of them have no Exchange mailbox in the company and both have external mailboxes.

Create a user with the external mail function

Enterprise Users all have their own internal accounts and exchange mailboxes. If you want to use an external mailbox because of work, instead of re-creating an internal exchange domain account mailbox, in this case, you need to register the user's external mailbox in the ad user and computer to facilitate the user's contact with the external mailbox.

Open the ad user and computer, select the user, right-click the exchange task, and select "create email address"

Click Modify at the external email address;

Click the SMTP address;

On the General tab, enter the user's external email address and click OK. You can create an external email address for this user.

Create a contact

Right-click the ad user and computer, right-click the new contact, enter the user information, and select modify in the external email address to create an SMTP email address. The method is the same as above, that is, an email address without a user account is created. Feature: This contact has an email, but cannot log on to a computer in the domain.

Create a user without email address

Create a new user on the ad user and the computer and do not create the user's mailbox. Feature: this user can only log on to the domain and does not have the mail function.

If you open outlook and see the English interface, you can open IE browser properties, General-history-language, select Chinese language, or enter outlook/resetfoldernames during running, you can change outlook to a Chinese interface.

ExchangeMail supervision (archived mails)

Click ESM-Management Group-first management group-server-first storage group-Mailbox storage attribute on the general page. (If you have set a mailbox policy, click the corresponding policy email in the system policy)

Select the check box and Click Browse to specify a user or group. All emails sent and received in exchange are forwarded to the specified user to facilitate listening for all emails.Suggestion:The user mailbox used for listening should preferably exist in the same storage group

How to open others' mailboxes

Ad users and computers click User properties, select exchange advanced, and click mailbox rights.

For example, if you authorize Doris to open and view small mailboxes, add Doris, and then grant the corresponding permissions, then Doris can control small mailboxes and only grant full control permissions to mailboxes, you can open the small mailbox.

The client operation method is as follows;

Log on to the system with "Doris", open outlook, select the "Doris" folder in your personal mailbox, and right-click "open other Folders" and "folders of other users"

Note: In, the sender is small.

In the pop-up dialog box, enter the user name and folder type, and usually specify the inbox.

Click OK to open the inbox of the small mailbox. Note: The recipient is small and the sender is Doris. Opened in the Doris mailbox.

Alternatively, use OWA to access the user's email address, open the IE browser, and enterHttp://win2003-2.test.com/exchangeNote: The format entered here is:Http ://Server Name.Domain Name. Com/exchangeThen, a dialog box asking for the user name and password is displayed. Enter the user name small and password to access the small email,

Accept emails from multiple domains

As needed, the company connected the established ad domain environment to the network and applied for a domain name in the network, which is inconsistent with the ad domain name in the company. The Internet does not know the company's internal network domain name, you need to set it to accept the Internet domain name email through the mail server and transfer it to the Intranet mailbox (that is, the Intranet domain name is test.com, and the applied Internet domain name is bb.com, emails sent from the public network to bb.com are accepted by the exchange mail server and transferred to the test.com Intranet mailbox.) The setting method is as follows;

Click organization-recipient policy-Default policy ,:

Click the Default policy properties-email address (policy) tab, and click New

Select the SMTP address and click OK;

Select the check box "this exchange organization is responsible for handling all emails sent to this address", and enter the newly created Internet domain name in the format@ Company.com, And click OK;

Select the SMTP domain name address you just added, click set as the Master Address, and click OK,

In the displayed dialog box, click yes;

, @ Bb.com is the SMTP master email address

Note: If you do not want each user to have a second email address. Click "no". Then, you must create another recipient policy for the user who needs this address, or manually add an address for each user.

Configure the front-end server to enable the client to access emails from multiple domains

Configuring the OWA front-end server allows you to access emails in multiple domains (for example, using OWA to access different emails in different regions of the Company domain)

There are two configuration methods:

I. add multiple virtual servers to the front-end server so that different virtual servers correspond to different domains and IP addresses need to be added. You need to remember multiple domain names when accessing your mailbox, the advantage of a single namespace on the front-end server is lost. It is cumbersome for users.

Ii. 1) Add virtual directories on the original HTTP virtual server (create several virtual directories based on the number of domain names)(Recommended)

2) Select whether the virtual directory can access the mailbox or public folder

3) associate the current SMTP domain and mailbox

4) if 2) select to access a public folder, you need to instruct the root of the public folder

Lab environment setup:

Ad users and computers create different ou, create corresponding user AA, BB and create their respective mailboxes; where AA is located in China, BB is located in Hong Kong; then modify its domain name, open ESM, click organization-recipients, right-click Create recipient Policy

Select an email address policy and click OK.

In the Properties dialog box, enter a name and click Modify,

Select "advanced" and "field" select "user" and "country". The condition is "China" and the value is the same as that of "China" to filter users.

On the email address Policy tab, click Edit to modify its domain name.@ Cn.test.comSimilarly, modify the domain name of BB@ Hk.test.com. Then, select the recipient to update the service.

Open the ad user and computer, click User BB properties-Email tab, delete the original@ Test.comDomain name;

Similarly, user AA has different domain name suffixes for different user AA and BB, and the environment has been set up.

Operations on front-end servers

Open the ESM-Management Group-server <Server Name>-Protocol-http-exchange virtual server of the front-end server win2003gc and right-click the new Virtual Machine directory.

On the General tab, enter China and select the SMTP domain email address in the exchange path, and click Modify.

Select the cn.test.com domain.

The domain name is changed to cn.test.com.

China and Hongkong virtual directories have been created.

Operations on backend servers

The ESM virtual directory structure configured in the backend server matches the structure of the virtual directory of the front-end server.

Configure the domain name corresponding to the virtual directory of the backend server. The operations on the backend server must exactly match the operations performed by the front-end server.

That is, the configuration of the front-end server is completely repeated (the front-end server operates the virtual directory of the front-end server, and the backend is the same)

Open ie on the client, enterHttp ://Front-End Server Name.Domain Name. Com/Virtual directory, That isHttp://win2003gc.test.com/ChinaTo open the client mail ,;

Deleted user email and re-established connection

When a user's account is deleted (the employee leaves the company), his or her Exchange mailbox will not be deleted immediately and will not be deleted until 30 days after the account is retained, click ESM-Management Group-first management group-server-first storage group-Mailbox storage-Mailbox, right-click the cleanup agent, and the deleted user email still exists on the right, there is a red cross in the deleted user's mailbox. Sometimes, when you need to view the deleted user's mailbox, right-click to reconnect and select a new user without a mailbox in the ad user and computer, click OK.

Log on to the system as a new user without a mailbox to view the deleted account's mailbox.(Kb271886)

User mail size settings

The user mail size can be set in multiple places, and the range and meaning of each setting are also different. The setting options include global setting and SMTP virtual server setting, general settings of ex in AD users and computers;

Global settingsThat is, set the user mail size when the exchange server is connected to the Internet. The user mail size must be smaller than or equal to this size before the server can be sent to the Internet.

Global settings-in the default settings tab of the mail delivery properties, you can set the size of the sent mail and the size of the received mail. And the number of recipients.

SMTPSet the mail size on the Virtual Server (set the mail size on this server)

ESM-organization-Management Group-server name-Protocol-SMTP-click the mail tab in the default SMTP virtual server attribute to set the size of the sent mail, by default, the mail size between the same routing group is unlimited,

SMTP virtual is only responsible for sending incoming mails; SMTP connector is only responsible for sending outgoing mails (compared with the public network, this setting sets the maximum mail size when the mail server is connected to the Internet)

SMTPSet the mail size for the connector(Set the mail size for sending this server)

ESM-organization-Management Group-first management group-route group-First Routing group-connector mail right-click Create SMTP connector,

On the content limit tab, select only allow emails smaller than this value, and set a value to set the size of the sent emails. The value is 10 MB.

That is, the maximum number of emails delivered between different routing groups is 10 MB. Whether or not the same email server is used;

User email settings

Click ad user and computer-User properties. On the displayed page, click the Exchange General tab and click transfer restriction;

Note: The transfer restriction is set to the size limit of each mail, and the storage limit is the storage size limit of each mailbox (the priority is higher than the global setting here)

You can set the size of the sent and received mails. By default, the default limit is used. Only users who pass identity authentication are allowed, that is, users from this domain. emails from the Internet cannot be authenticated.

By default, the storage restrictions and retention time of deleted items use the default settings of mailbox storage, that is, the storage restrictions in the ex database can also be customized ,;

Click ad user and computer-user attributes and select exchange general to set the user's mailbox separately;

(Note: the priority is higher than that set in ESM global settings)

"Transfer RestrictionsYou can set some parameters for receiving/sending emails on the configuration page.

"Transfer option"You can set the sending permission.

"Storage restrictions"Allows you to set the user's mailbox capacity and the retention time after the mailbox is deleted.

Note: The transfer limit is set to the size of the sent and received mails, and the storage limit is set to the mailbox size.

Transfer RestrictionsYou can set the maximum size and maximum size of emails to be sent. Only Authenticated Users can receive emails from authenticated users, if this option is selected, the user cannot receive Internet mail because the sender of the Internet cannot pass the identity authentication of the Exchange Server. By default, the user accepts emails sent from any user, it can be set to only accept emails sent by a specific user or exclude emails sent by a specific user.

Transfer optionYou can set the sending permission,Send by representativeAn email is sent to another user in the name of the recipient. For example, if the delegate sends a mail on behalf of the manager, set the delegate in Doris to grant the send permission to small, small can use the user identity of Doris to send emails.

Under the small account, click outlook to create an email, add a sender in the options, and create an email. Note that the sender is Doris, which is another account that is granted the sending permission.

Go to the test account, open outlook, and you will see an email:

Sending is successfully set. That is, small can send emails on behalf of Doris like other users, and Doris gives small permission on behalf of sending.

If you send a mail to test without displaying small on behalf of Doris, you can open the ad user and computer, select advanced options, and click Doris (that is, the account authorized to represent permissions) in advanced-security attributes, set the small permission to grant the small permission to send another message. After that, small indicates that the message sent by Doris does not display the words "small" to indicate "Doris.

The mail received under the test account is;

Forwarding AddressAllows you to forward emails received by the current email user to another specified email address, if you select "send mail to both the forwarding address and the original recipient's mailbox", both the original recipient and the forwarding mailbox will receive the sent mail. If you do not select this option, only the forwarding mailbox can receive emails. Monitors a user's email exchange. As shown in, emails sent from Doris to users are directly forwarded to administator, and users cannot receive emails from Doris, select "transfer mail to both the forwarding address and the email address of the original recipient, both the administrator and the user will be able to receive mails from Doris (the administrator can be used to monitor the mails in Doris for convenience/or forward mails from users on long-term business trips to external emails)

Application scenarios:To forward an email to an external user email address that is frequently on a business trip, you need to create a contact, add an external email address, and forward it to the contact name.

"Storage restrictions"Set the mailbox capacity and retention time after the mailbox is deleted. By default, the default mailbox storage settings are used. You can modify the storage settings.

When the user's mailbox reaches100 mWhen the mailbox capacity reaches110 mYou cannot use your mailbox to send emails, but you can still receive emails.120 mYou cannot send or receive emails. We recommend that you set the first two items to be empty to prevent receiving and sending, so that users without time can continue to receive emails, however, emails cannot be sent (this is a separate mailbox size set for a user)

The retention period of deleted items is set to 7 days. The deleted emails are still stored in the mailbox for 7 days, you can use outlook to restore deleted emails during the retention period.

View the last time the user logged on to the mailbox

Open ESM, and in the management group-server-first storage group-Mailbox storage-Mailbox, you can see the last logon time of the user.

Domain Name settings for subdomain mail

The domain name of the group company is@ Test.com. In order to distinguish the mail of each branch, set a subdomain email in each company, that is@ Xx.test.com. Because they are all in an ad domain and ex environment, the easiest way is to install the mail server exchange in the company that needs to set the sub-domain name, and then click ESM-recipient-policy, new-recipient policy ;:

Select the new email address;

On the General tab, enter the Policy Name and click Create in email (policy,

In the create email address dialog box, select the SMTP address ,;

Enter the domain name to be set/displayed,@ Xx.tets.com, And click OK;

Check box "this exchange organization is responsible for handling all emails sent to this address". If this domain name email is sent only to external mails and no emails are sent in, deselect the check box.

On the generate procedure page, click@ Xx.test.comClick set as the Master Address, that is, the email domain name sent by the user under the mail server is@ Xx.test.com.

Set an ouUse a specific domain name suffix for mail

First, set the unified property of an ou user in the ad user and computer, for example, China.

In ESM-to-recipient policy-New-policy, select the email address policy, enter the Policy Name on the General tab, and click Modify ,;

In the "Find exchange recipient" dialog box, click "advanced", the field is "user-description", and click "Start search" to find the following users. Click OK;
