Once the policy for coexistence of file formats is determined, the next step is to determine how to make all office users share files with each other. To start this process, the Administrator must consider available options for the previous version of Office or other commercial product suites when interacting with Office 2000 users. 1. Provide read/write access to users using earlier versions of office or other commercial product suites

Users want to share information with other users without considering what applications they create or what they need. To ensure that information sharing of this type is available, the administrator can select the following three options (provided in the recommended order ):

A. "Save in two file formats" allows users to save files in both Office 2000 and previous versions of office files, in this way, Office 2000 users and former office users can open and read the same file.

B. "converter" allows users using office 4.X, Office 95, and other business application suites to fully read and write files created with other applications. (Only valid for Word 2000 and PowerPoint 2000)

C. "reverse save" allows Office 2000 users to save their files in the previous file format.

Option 1: Save in two file formats

"Saved in two file formats" is designed for companies that need to gradually migrate to Microsoft Office 2000. Excel, PowerPoint, and word, including file formats that allow information from the 97-2000 and previous Office versions to be saved in one file. For example, if you choose to save a file in Microsoft exc El 97-2000 & 2000/95 format in Microsoft Excel 5.0, two types of data streams are created for a single workbook file; one is 97-2000, version 5.0/95. When an Excel 97 or Excel 2000 user opens the file, they will access
Data Flow. Although this will make the file larger, it can better solve the problem of coexistence. Once Office 2000 becomes a standard version, the file format can be changed back to Office 2000.

Save Microsoft w ord 2000 documents in Microsoft Word 97-6.0 & 2000/95 RTF Format

A. Advantage: because this is a combination of binary and rtf formats, all Microsoft Word users can open and edit this document. Microsoft Word 6.0 or 95 users do not need to install additional software. There will be no data loss, because two types of data streams are created for this document file; one is for the 97-2000 version (Word 98, Macintosh license edition ), one is to use files of version 6.0/95.

B. Restrictions: due to additional information, the file size and storage time of the document are increased. Word 6.0 and 95 users must open the file in read-only mode. If a Word 6.0 or 95 user saves this document, the features assigned to Word 2000 may be lost. Similarly, if A Word 2000 user saves a file in the format of word 97-2000 only, the data stream of Word 6.0/95 will be lost. However, if the file is saved in the format of two files, the file can be regenerated.

Save Microsoft exce l 2000 in Microsoft Excel 97-5.0 & 2000/95 format

A. Advantage: All Microsoft Excel users can open and edit the workbook. Microsoft exc El 5.0 and 95 users do not need to install additional software. There will be no data loss, because two types of data streams are created for the workbook file; one is for files of the 97-2000 version (including Excel 98 and Macintosh edition ), for files of version 5.0/95.

B. Restrictions: the size of the workbook increases as additional information is added. When a Microsoft Excel 5.0/95 user opens the file, he/she can only open the workbook in read-only mode (but can choose to open it in read/write mode ). When Microsoft Excel 5.0/95 users save the workbook, the unique features and data (optional) of Excel 2000 will be lost. Similarly, if a micro soft Excel 2000 user saves the file in Microsoft Excel 2000 binary format, the data stream of Micros oft Excel 95 will be lost, however, if you save the file in two formats later, the file can be regenerated.

Save the PowerPoint 2000 presentation in the format of Powerpoint 97-2000 & 95

A. Advantage: you can open this presentation for PowerPoint 95, 97, and 2000 users. PowerPoint 2 000 users can edit and save presentations. There will be no data loss, because two data streams are created for the presentation; one is for version 97-2000 (including PowerPoint 98 and Macintosh edition) and the other is for version 95. In addition, the powerpo int 4.0 user can use the existing PowerPoint 95 converter, so that the PowerPoint 95 user can open the file well.

B. Restrictions: Because there is additional information, the file size of the presentation will increase and the storage time will become longer. PowerPoint 95 users can only open the file in read-only mode. If you save the presentation as a user of PowerPoint 95, all PowerPoint features and data will be lost. Similarly, if a PowerPoint 2000 user saves the file in PowerPoint 97/2000 format only, the information in PowerPoint 95 will be lost, but the information will be regenerated if it is saved in two file formats in the future.

Suggestions

Microsoft recommends that you save data in two file formats, instead of using a converter or a reverse storage, because using two file formats can enable office users of earlier versions to use both data streams. In this way, the Administrator does not need to install additional components such as the converter on the user's desktop, and because the files are saved in Office 2000 format, the features of Office 2000 can be well preserved. Users who share files with people outside of the company may not know what applications are used to open files. These users are likely to run to read data streams of previous versions in two file formats, so as to ensure compatibility.

However, using the two file formats will increase the file size by a factor of doubled and increase the storage time required. Checking these files may cause trouble. They should consider installing the converter or using reverse storage. Further, if you only need to read access, the administrator should consider using HTML file format or reader.
