This article introduces a complete set of methods to effectively protect the Office documents we have edited, so as to avoid getting peek and modification.
View and modify the document Password
Password protection is the most common practice. Password protection is divided into two layers: Open the permission password and modify the permission password.
You can set a password for the document in two places, and the operation is relatively simple. If this document is saved for the first time, you can click the "tool" button in the upper-right corner of the "Save as" window to set the storage location and file name, in the pop-up menu, select the "security measure options" command to open the "Security" window, here we can set the "password when opening the file" and "password when modifying the file" respectively. We recommend that you do not set these two passwords to the same content.
If the password is not set when the file is saved for the first time, it doesn't matter. We just need to open the "options" command under the "Tools" menu, switch the "options" window to the "Security" tab, where you can set the permission to open and modify the password (figure 1 ).
If you have the permission to open the password, this document is read-only when you open a protected document. If you modify it, you can only change the name to the disk without affecting the content of the original document; if you have the permission to change the password, you have full control over the document.
Document content cannot be modified
If it is difficult to enter a password to access or modify the document each time you open the document, we can use the "Document Protection" function provided by word to us, with this function, you can restrict unauthorized users from modifying the document format and content at will.
To enable "Document Protection", open the document, click the "Tools" menu, and select "document protection ", in this way, an additional "protection document" editing area is displayed on the right of the current editing window.
In this area, there are three parts: The first part of the "format setting restrictions" is mainly to prevent illegal users from modifying the document format, for this purpose, we only need to select the "restrict the format of selected styles" option, and then click the "set" button to set a format type that is forbidden to be modified in the "format settings limit" window that appears, such as font and font size.
The second part is "editing restrictions", which can prevent others from arbitrarily modifying the document content. Select "only allow such edits in the document ", then, select operations that can be performed by the user in the drop-down menu, such as "annotation", so that others can avoid modifying the original content of the document at will, and only add or modify the content of the annotation.
After completing the preceding two protection measures, click "Yes, enable force protection" in the third part. In this case, the password setting window is displayed and a password is set, in this way, the document will be protected without a password. To modify a document, open the "Tools" menu again, select the "cancel document protection" command, and enter the preset password in the pop-up window.
Hide Document Information
Even if we encrypt the document, the privacy of the file cannot be guaranteed. Because if we enter the document content before saving it when creating a document, some personal information will be displayed in the "summary" tab of the document attribute. In this case, you only need to open the Properties window of the document in the resource manager, switch to the "abstract" tab, and delete all the information such as the title, topic, author, and remarks, or enter irrelevant content (figure 2 ).
In addition, you can directly open the "options" command under the "Tools" menu in the document, in the "Security" tab, select "delete personal information from file attributes when saving" under "Privacy Options.
Prevent macro viruses from damaging files
To prevent the macro virus from infringing documents, we need to provide necessary protection for the macro virus. Open the tool menu and select the "Security" command in the "macro" sub-menu. Here we can specify a security level for it. It is recommended that you use medium and high levels instead of low-level ones (Figure 3 ).
The above protection measures can be used separately or in combination. Based on your own situation, let the document put on the "golden armor" that can protect privacy and security.
