Two ways to add a description for a wps table cell

When you make a table in a wps table, you often need to label the cells to explain or prompt for input, so that others can get an accurate picture of the table's data and input requirements. Here are two ways to set callouts for a cell in a wps table.

One, add annotations

Annotations are the most commonly used annotation methods in a wps table. Select cell Right-click to insert Annotation, enter the content to be described in the Annotation editing window that pops up (Figure 1), and then add annotation notes for the selected cells. Later you just point the mouse pointer to this cell, there will be a comment box to display the input instructions, the mouse to move away and automatically hidden. You can right-click the cell select Edit annotation to modify the annotation you have set, and select Delete annotation to delete the added annotation.

Note: A red triangle is displayed in the upper-right corner of the cell where the annotation is set, which may not seem pleasing to the eye. However, the flag and annotation information can only be seen on the screen and will not be printed.

Ii. Use of data availability

You can also add a description to a cell by using data validation. Select the cell for which you want to set the callout. Click Data/effectivity on the menu to open the Data Validation window, switch to the Input tab, check "show input when selecting cells," and then enter the title and input information below (Figure 2) and click OK to complete the setup. The prompt is now displayed whenever the cell is selected. When you need to modify the description later, simply select the cell to open the Data Validation window to modify it, and in the Data Validation window, click the Clear All button to remove the description.

Note: Using data validation, you can select multiple cells to set the same description, and no flags appear on the cells that are set up.

The above two kinds of annotations each have advantages and disadvantages, the use of annotations inserted by the instructions only to the mouse, for the full use of the keyboard input to the form of people can not see, so it is more suitable for the people who view the table to provide instructions. The instructions for adding data validation are displayed when the cell is selected, either with the mouse or the keyboard. Of course, if you want to display the instructions on the printed form, you can simply insert the text box to mark it.
