First, after access opens the source database, finishes sorting, and so on, in the Navigator pane, select the target that includes the data to be exported. Next, follow the different operations, depending on the access version you are using.

First, Access2003 form

On the Tools menu, point to Office links → Publish with Microsoft Office Word (Figure 1), the system automatically generates a file in Word RTF format and automatically opens the Word editing window for that file.

Second, Access2007 form

Click the External Data tab, and in the Export group, click Word (Figure 2). You can use the Export command only when the database is open.

In the Export Wizard, specify the name of the destination file; If you want to view the Word document after the export operation completes, select the open target file after the export operation is complete check box, or select the Export only selected records check box if you selected the record to export before you start the export operation (Figure 3). However, if you want to export all the records in the view, leave the check box empty. If no records are selected, this check box is displayed as unavailable. When you have finished setting up, click the OK button.

In either Access version, when an. rtf file with the same name already exists, a dialog box pops up that replaces the existing file, prompting you to click Yes to overwrite the file (Figure 4). Click No to change the name of the destination file. Now, in the Word editing window, it's already a table converted from an Access database. At this point, you can further set the font, borders, shading, and so on in the table, and then print the output in Word is all right.

III. Matters of note

1. When you export an object using the Export Wizard, Access creates a copy of the policy data in a Word RTF format file (*.rtf). For tables, queries, and forms, visible fields and records appear as tables in a Word document. The Export Wizard always exports data with patterns.

2, this means that as long as the guidelines or views can be seen in the fields and records will be accompanied by the presentation pattern settings with the export. Columns and records that are hidden because of filter settings are not exported. For reports, report planning is also saved when you export, in an attempt to make Word documents as similar as the report.

3. Before the Access database is published or exported as a Word table, check the source data to ensure that the fault indicator (green triangle) or #num is not included. Before you export data to Word, be sure to deal with the fault questions first, otherwise you will find that the value is replaced with a null value.

4, if the policy Word document exists and is opened, please close it before continuing operation. You cannot append data to an existing Word document. In a database, if you only want to export a table, query, or part of a form, turn to that policy and select only the records of the requirements.

5. When you export from access to a Word document, the data is always exported to a new Word document. If you expect data to be stuck in an existing Word document, it is necessary to export the data from access to a new Word document, and then copy and paste the data from the new Word document into the existing document. You might also be able to copy rows directly from an Access table, query, form, or report, and then paste them into an existing document.
