Configure Classification Management

The classification properties are used for file categorization and for selecting files to schedule file management tasks.

There are several ways to categorize files. One way is to create a classification attribute that assigns values to all files in the specified directory. Another way is to create a rule to determine the value set for a given property.

Create classification Properties

The classification attribute is used to assign a value to a file. There are many property types to choose from, and you can define them based on your organization's needs.

The following table defines the available property types and the policies that are applied when a file is reclassified.

To create a classification property
    1. In classification management , click the Classification Properties node.

    2. Right-click Classification Properties, and then click Create Property(or in the Actions pane, click Create Property). This opens the classification attribute Definition dialog box.

    3. In the property name text box, type a name for the property.

    4. In the description text box, add an optional description of the property.

    5. In the attribute type drop-down list, select the property type.

    6. Click OK.

Create classification rules

The following steps guide you through the process of creating a classification rule to automatically categorize files. Each rule sets a value for a single property.

Steps to create a classification rule
    1. In classification management , click the Classification rules node.

    2. Right-click Classification Rules, and then click New Rule(or click New Rulein the Actions pane). This opens the Classification Rule Definition dialog box.

    3. On the Rule Settings tab, enter the following information:

    • The rule name . Type a name for the rule.

    • is enabled . If the enabled check box is selected, only this rule will be applied. To disable a rule, clear the box.

    • description . Type an optional description for the rule.

    • scope . Click Add to select the location where the rule will be applied. You can add multiple locations, or delete them by clicking Delete . The classification rules apply to all folders and their subfolders in the list.

On the Classification tab, enter the following information:

    • classification mechanism . Select the method that assigns the attribute value. The classification mechanism is provided by a series of plug-ins included in Windows Server R2 or generated by you or an ISV.

    • The property name . Select the attribute that the rule will assign.

    • The value of the property . If the classification mechanism requires a specific value to set the file, select the attribute value that this rule will assign. Otherwise, this field is not enabled.

Also, click the Advanced button to select more options. On the Evaluation Type tab, the re-evaluate file check box is unchecked by default. This means that the rule applies only to files that are not currently categorized according to the attributes set by the rule. You can set the following options: 6

    • Do not select re-evaluate file: If the property on the file does not have any value set (and only in this case), the rule applies to the file for the default value of the specific property.

    • Check the "re-evaluate file" and "Overwrite existing values" option: The rule will be applied to the file if the file or classification mechanism is updated, every time the automatic categorization process runs (ignoring any existing or default values for the properties specified by the rule). For example, if the file has a Boolean property that is set to Yes , use the folder classifier to change the property value to noby using a rule that sets all files to no .

    • Check the "re-evaluate file" option and the "aggregated value" option: The rule will be applied to the file each time the file or classification mechanism runs the automatic categorization process. However, if the rule has determined the value of the property file, the rule aggregates this value with the value already in the file. For example, if a file has a Boolean property set to Yes , a rule that uses the folder classifier to set all files to no will cause the property value to be set to Yes.

      B. To specify additional parameters that are identified by the classification method that you have selected, click the Additional classification Parameters tab, enter a name and value, and click the Insert button.

      C. Click OK or cancel to close the Advanced dialog box.
