Software selection has gone through a continuous trial and then fixed process. I learned about GTD since I purchased my PDA mobile phone last year. At that time, I saw a lot of introductions about the management time of PDA in my PDA forum. I tried software such as MLO and listpro, but I didn't stick to it because I didn't have a good Chinese version. More importantly, it was inconvenient to synchronize with my computer.
After some choices, I decided to use outlook as the main tool for time management, network connection management, and mail management.
The specific methods are described in conjunction with the five GTD processes "collection, processing and organization, scheduling, action, and inspection.
Collection
In the book GTD, we suggest that we move all kinds of chores in our minds to the inbox by recording them. In this way, you don't need to fill your mind with all the things that need to be done to concentrate on the current things. This is the first stage of time management to collect chores (stuff ).
Create a task in outlook to collect the task and summarize it into a "to-do list, at the same time, the synchronization tool is used to synchronize tasks to the PDA mobile phone, so that you can view and remind at any time.
In GTD, creating a complete list of tasks is a very important part. According to twshi, "If we can regard creating a list as a habit of living and working, we will keep working day after day, it is to manage the exercise black band-level time. Therefore, it is very important to do a good job of time management and study the habit of listing the complete list ."
We often face not only trivial matters, but also one project. According to GTD, the project should be divided into operable To-Do items, that is, simplifying and operating complex things. This is very important. It is also a common mistake that is made when GTD is implemented. That is, it only lists the projects and does not break them down. For example, "reading a book" is actually a project, the operational "task" should be the "Chapter × reading the book ". Only in this way will GTD continue.

My practice is different from GTD in terms of how to organize the to-do list. GTD emphasizes context, which is organized on different occasions. However, in my actual work, the situation is relatively simple, basically the 2.1 line of units and home, so my practice is based on Ke Wei's "role" concept.
I divide the categories of to-do items based on my responsibilities. Specifically, I am a manager of an insurance company at work, I am mainly responsible for the sales management of sales organizations at all levels. At the same time, I have a lawyer's license and a plan for the development of the law industry, so I have set a category specifically. In My Life, I am a father, a husband, a son, and a pillar of my family. Therefore, I have summarized my family life as my own. I also have some personal interests (watching American dramas, movies, etc) and learn some investment and financial management, so it is specifically classified into "leisure and entertainment, personal life" and so on. After setting the preceding categories in outlook, the colors are distinguished, which is very simple and clear. (See the figure below)

Schedule
Schedule is to arrange the itinerary. in GTD's philosophy, calendar is a "Holy Land". Only events with specific time conventions are placed in the calendar, and the rest are placed in the to-do list bar. This actually works with OutlookProgramSettings coincide. in outlook, why should we set "tasks" and "calendar" separately? I think the difference between them is that one is to determine the time (that is, must do ), the other is relatively uncertain (do not do it, hope you do it as soon as possible, but do not set the time, depending on the location, remaining time, energy, priority ).

That is, the meaning of review. In GTD, I emphasize weekly review. In this regard, I set a weekly review of GTD every Sunday evening with one hour, which is set in Outlook through a periodic calendar. The review content is clearly recorded:
