Word and Access are both components of Microsoft's Office software package. They are closely related. To facilitate your use, the following describes how to exchange Word and Access data:

1. Use Access Data in Word

(1) Insert a Microsoft Access Table or query content into the original Word Document

1. Select the table or query location in the Word document.
2. Click "toolbar" in "view searching", click "Database", display the "Database" toolbar, and click "insert Database.
3. In the pop-up "Database" window, click "Get Data" and select "MSAccess Database" in "Open Data Source" "file type ". In the "file name" box, enter the name of the required Microsoft Access database, and click "open.
4. Click "table" or "query", select the expected table or query, and click "OK.
5. if you want to select records, fields, or subsets of the two and include them in the Word Table, click "query options", select the required options, and then click "OK.
6. to customize the form of a Word table, click the "auto format of table" button, select the required options, and click the "OK" button.
7. Click the insert data button. Under insert record, select the records you want to include in the Word Table.
8. If you want to update the data in the Word table when the source data changes, select the "insert data as a field" check box and click "OK.

(2) Output Microsoft Access data to the Word documents

1. In Microsoft Access, open the required database, and then open the database object: Table, query, form, or report.
2. Select the rows and columns of the data to be output.
3. Click the Save As/Export command in the File menu.
4. Select "Save as an external file or database" and click "OK.
5. in the "Save type" box, select a format for the output data: to create a document that maintains the original data format, click "RTF format". If you want to create a common text file, for use as the mail merge data source, click the "Microsoft Word merge file" button.
6. In the "file name" box, specify the file name of the new document.
7. If you want to save the document in RTF format and enable Word to open it immediately, select the "auto start" check box.
8. If you want to select the specified data column, select the "select" option.
9. Click the Export command to complete the output.

2. Import Word text files to Microsoft Access

1. Save the file as a text file separated by commas (,) or separated by tabs in Word.
2. Switch to MicrosoftAccess and open a new or existing database.
3. Click the "table" tab in the "Database" window.
4. Point to the "get external data" command in the "file" menu, and click "import ".
5. Click the "text file" command in the "file type" box.
6. In the "file name" box, enter the name of the text file to be imported.
7. Click the import command.
8. Follow the instructions in the import text wizard dialog box.

To view more options or modify guides (such as domain separators), click the "advanced" command in the First Wizard dialog box. If you want to save the specified items so that they can be used when similar text files are imported next time, click the "Save as" command.
